Anne Haimes Interiors is hiring a studio administrator/procurement officer to join its team in Oxfordshire, UK.
Anne Haimes Interiors is an interior design practice specialising in high-end residential projects. Based in the heart of Henley-on-Thames, Anne Haimes Interiors offers a comprehensive design service, from concept planning through to procurement and installation. Working closely with clients to provide a highly tailored, personal service and recognising each project is unique. From a single bespoke piece to a complete design and build project.
Please note that this is an on-site position. The correct candidate would work alongside our team in our Henley Studio.
Main responsibilities:
- work closely with the design team on quoting FF&E items for projects
- order for projects, including furniture, fabrics, equipment, lighting, bespoke items and soft furnishings
- finalise purchase details of orders and deliveries, gather lead times and share confirmations with the design team
- keep track of install schedules using Gantt Charts
- co-ordinate all deliveries and logistics
- knowledge of Esit PC is a plus
- handle all paperwork for import and export operations
- communicate, negotiate and form relationships with suppliers
- do quality checks for deliveries
- respond to maintenance requests
- put together O&M Manuals
- re-specify items which are out of stock or on a long lead time
- produce budgets, reports and project schedules
- keep budget is on track
- ensure everything is compliant with regulations
- flexible, adaptable and willing to take on other tasks (e.g. painting paint samples/ delivering samples to clients/ diary management etc.)
- organise sample libraries/ place sample requests/ organise rep visits
Skills and experience:
- excellent communication and negotiation skills
- calm under pressure and happy to meet tight deadlines
- must be flexible and able to multitask
- must be a self-starter and able to take responsibility
- have the ability to build effective professional relationships with the team, clients, suppliers and subcontractors
- be a driven, organised and motivated team player in a fast-paced team
- must have a high proficiency in Microsoft Office and Adobe InDesign
- minimum two years’ administration experience
- passionate about interior design (this is not an interior design role but an interest and experience in the design/ build industry is a benefit)
- the legal rights to work in the United Kingdom
