Project coordinator

Dodds and Shute is seeking a project coordinator to join its team in London.
Job purpose
Work within the project management (PM) team to ensure the smooth and efficient execution of client orders. Key responsibilities of the role are to provide support to the PM team and manage administration for the order, delivery and installation of Dodds & Shute projects.
Ensure client retention and business growth through fulfilling all client orders in a timely, cost-effective manner, whilst providing excellent customer service and aftercare.
Duties and responsibilities:
- coordinate project admin, record-keeping and process management through our bespoke business software
- assist with project logistics and aftercare, including booking in deliveries and snagging
- communicate snagging updates, issues and resolutions effectively to AM/client
- monitoring and maintaining admin inbox and invoicing from suppliers
- assist the PM team with invoice uploading when they are busy running larger projects
- pass invoices to payments team to ensure orders are dispatched and put into production without delay
- update information on business software, including FF&E product library
- process customs administration, including upload invoicing for timely payment
- assist with communicating with warehouse team to ensure goods are arriving safely when needed
- manage shipment of samples
- support communication with clients to ensure a high-level of customer service
- keep clients informed of the progress of orders and agree a suitable action plan when order is delayed – escalate to line manager and directors where necessary
- answer the office phone in a timely and professional manner and pass on new business enquiries to the relevant team members
- compile required client certification documentation such as creating operation and maintenance manuals of FF&E for projects
- support the success of the company as a whole
- contribute to building the business, through identifying areas of the business you feel could be improved and share ideas for improvement, i.e. through Westcliff work, etc.

Knowledge, experience and skills:
- able to deliver high levels of customer service and client satisfaction whilst managing client expectations
- able to produce accurate work to tight deadlines ensuring multiple timelines and demands are met under pressure
- able to communicate clearly both written and verbally, including confident on the phone
- excellent team player but able to work independently
- highly proficient in MS Office applications with the confidence and ability to learn
- highly numerate with intermediate level of experience in excel
- effective time management and work prioritisation
- good organisational and problem-solving skills
- excellent attention to detail
- flexible, adaptable and have a dynamic, hands-on approach to your work
- positive with a can-do attitude and a passion for the design and furniture industry
Key job details and benefits
Office location: office is based in Clerkenwell
Hours of work: Monday to Friday 9.00am to 17:30pm, with a one-hour lunch break
Holidays: 25 days per annum (excluding bank holidays)
Pension plan: match personal contributions up to 6 percent
