Fatkin is hiring an administrative assistant to join its team in London.

The role

We are seeking a reliable, detail-oriented Administrative Assistant to support our team and help ensure the smooth day-to-day running of our office.  This is a part time, office based position (17 to 24 hours per week).

Key responsibilities:

  • manage incoming calls, emails and post
  • answering all reception calls in a polite, professional manner
  • greeting visitors and dealing with them efficiently, in a polite, professional, welcoming manner
  • keeping the central space and kitchen areas clean, tidy, and well organised
  • arranging meetings, booking and preparing meeting rooms, ordering lunch / refreshments
  • ensuring stationery cupboard and print area are kept tidy to assist in minimising wastage
  • ordering and monitoring paper, stationery and consumables
  • assist the practice manager with scheduling CPDs, meetings, booking travel, and arranging staff social events
  • maintain office supplies and liaise with service providers as needed
  • support with basic bookkeeping and invoice processing (training can be provided)
  • entering jobs on to our project management system maintaining our file structure
  • assist the practice manager with updating our social media accounts
  • help coordinate internal communications and support team-wide admin tasks
  • support the practice manager in any further ad hoc admin tasks

Requirements:

  • excellent organisational and time management skills
  • strong attention to detail and a proactive approach
  • fluent English
  • good written and verbal communication
  • confident using Microsoft Office (Word, Excel, Outlook)
  • friendly, flexible and able to work independently
