at Futurecity

Futurecity is seeking a project coordinator to join its team in London.

Position: project coordinator
Term: permanent, with six months probation
Experience: three-plus years’
Salary: £28 to 32k per annum
Hours: full-time, although we can consider four days per week
Responsible to: business manager

Immediate line management will be the business managerm but there will be direction and guidance from the head of strategy and the head of arts and culture.

Summary:

Futurecity seeks a project coordinator on a full-time and permanent basis to join our team starting as soon as possible and based in our London office.

Giving support across our cultural placemaking strategy and arts delivery work, you’ll be used to working in a creative, culturally enterprising and fast-moving environment. We are looking for an assertive project and team coordinator, with strong interpersonal and organisational skills.

You’ll provide organisational support across our projects including scheduling, team coordination and archiving, alongside coordinating a number of specific projects yourself (as part of a team). You’ll also support projects with some production of visual presentation material and assisting our project research. Your project administration experience in an arts or cultural field will be invaluable as will your skills in planning, document management and communication.

Applicants need to demonstrate a level of ability in regard to:

  • cultural project experience (urban design, cultural curation, public art commissioning etc.)
  • InDesign DTP skills, PowerPoint, Excel and project management software such as Asana

Main responsibilities on live projects

Operational support

  • resource/meeting scheduling, setting gantt charts and project progress monitoring – FC currently uses Sharepoint and Asana to manage workflows and materials
  • project material coordination and archiving to help build strong accessible archive of FC project materials – case studies, research, project proposals, strategies etc.
  • project coordination lead on nominated projects (the client’s identified FC administrative contact)

Other responsibilities for coordination lead include:

  • issue actions to strategy team and associates through management systems, progress monitoring and follow up on tasks and milestones
  • schedule client/design team meetings and attending as and when needed
  • admin tasks such as minuting meetings, issuing agendas and reports
  • ensure daily communication amongst all parties ensuring client care is of high standard
  • handle RFIs (requests for information) for projects
  • develop accessible filing structures on complex projects and maintain overall document control

Visual presentation support

  • DTP support for producing client facing documents: presentations, reports, research
  • image sourcing and copyright clearing where required

Content support

  • assist researcher, strategists and producers on specific projects with occasional research, project ideation and content creation

Pipeline projects (new business)

  • support the team to prepare written proposals, pitches and case studies for specific pipeline projects
  • support the business manager to migrate projects from pipeline to live

Client relationships

  • demonstrate professionalism and formality of communication on behalf of the company

General

  • support the Futurecity team with other requests as appropriate

Skills required

  • project coordination – practical experience (related software desirable but not essential)
  • workflow organisation and multitasking
  • visual/graphic design – InDesign, PowerPoint, Canva etc.

Additional information

This role may require work outside of standard working hours and may involve UK travel from time to time. This role will require flexibility in working the hours needed to ensure all aspects are carried out well although this should not require regular work outside of core hours.

Core office hours are 9.30am to 6pm, Monday to Friday.

Position is at five days per week but we could consider four days per week.
