PA, marketing assistant and office administrator

We are seeking a PA to our director with flair for PR/marketing and some office administration. We are looking for an all-round, dynamic, highly organised and experienced professional to join our growing team of 7 at Columbia Road in London.

Someone who will first and foremost act as PA to our director and assist in PR and marketing tasks. Then oversee the day-to-day practicalities of the office ensuring administrative processes are carried out efficiently.

The position is permanent employment and ideally a full-time position.

Responsibilities will include

Personal assistant:

  • act as PA to our director
  • coordinate meetings and schedule appointments
  • write agendas and take minutes
  • handling email correspondence
  • coordination of travel itineraries
  • completing travel expenses
  • support with invoicing when needed
  • assist in coordinating and collecting presentations
  • ad-hoc tasks

PR and marketing:

  • support with PR and marketing of the practice
  • prepare and keep CVs and marketing documents updated
  • assist in coordinating and collecting bids with external consultants
  • proof-read bids and project documents
  • prepare press releases
  • monitor and keep website and social media updated

Office administration:

  • general office administration
  • welcoming and directing visitors
  • answering the phone and taking accurate messages
  • monitor company emails and forward/respond as appropriate
  • organise monthly office meetings and weekly office briefings
  • draft agendas and follow up on agreed actions
  • coordinate office events including weekly studio lunches, the annual summer trip and Christmas parties
  • schedule and prepare for interviews with new employees
  • arrange onboarding and offboarding of employees
  • schedule and prepare for employee reviews
  • maintain up-to-date employee handbooks and employment policies
  • maintain up-to-date information on all office systems, policies and procedures
  • manage external cleaning contractor and ensure the office is kept tidy
  • manage stationery, office and kitchen supplies ensuring everything is in good working order

Competences and qualities:

  • excellent communication skills
  • excellent organisation skills
  • excellent spoken and written English
  • excellent MS Office (Word, PowerPoint and Excel) user
  • knowledge of Adobe InDesign
  • proactive and able to independently prioritise time
  • calm, focused and flexible
  • able to act with discretion and maintain confidentiality at all times
  • a desire to learn and develop
  • eligible to work in the UK

Experience:

  • professional experience as PA
  • experience as office administrator ideally within the creative industry

Salary: depending on experience; immediate start
