Gort Scott is looking for an administrative assistant to join its studio in London.

Gort Scott is a dedicated, friendly architects office with a creative and motivated atmosphere. Gort Scott is situated in beautiful new offices and our weekly communal lunches are very sociable. The practice has steadily expanded and we are looking for an administrative assistant to join our team of 20 people. This is a varied role for an enthusiastic, highly organised and proactive person who wants to gain experience in the creative industry.

Responsibilities will include general admin duties such as booking travel, answering phones, managing incoming mail and providing ad hoc administrative support to the team as well as diary management for the directors. This is an ideal role for someone with proven administrative experience looking to work in a creative office in a role that can develop and grow in time. This is a hands-on role which may involve other ad hoc responsibilities.

Main duties:

  • general administrative support to the team including but not limited to answering the phones, booking travel, ordering stationery, dealing with mail and petty cash
  • managing all meeting rooms, ensuring they are clean, tidy and stocked with relevant supplies
  • the first point of contact for all visitors, including making teas and coffees for guests
  • booking travel arrangements for staff and senior management
  • keeping the reception and office areas tidy and presentable – looking after the studio by managing meeting rooms and general spaces, ensuring they are kept clean and tidy up if anything is left out
  • responsible for ordering all stationery for the office
  • updating the contacts database
  • responsible for ordering all subsistence for the office (milk, coffee, fruit etc.)
  • this is a hands-on role which may involve other ad hoc responsibilities
  • coordinate meetings with potential and existing clients, arranging taxis and couriers
