Quality and information manager
at Haworth Tompkins
Haworth Tompkins is seeking a quality and information manager to join its London studio.
Founded in 1991 Haworth Tompkins is a Stirling Prize-winning studio of 100+ people, working across the Culture, Housing, Mixed Use, Industrial, Education and Masterplanning sectors. We are an Employee Ownership Trust, a B Corp, founding members of Architects Declare and named the AJ100 Practice of the Year in 2020 and 2022.
The quality and information manager will work closely with associates and associate directors, overseeing the practices’ information and quality management systems.
Key responsibilities:
- communicate changes to project and quality management procedures to the senior leadership team and office in the form of meetings and CPDs
- coordinate internal ISO audits with external consultant and formal ISE accreditation reviews
- develop and maintain the practice’s project procedures systems
- assist QA associate directors in ensuring project forms and project work stage forms are complete
- assist in the yearly professional indemnity insurance renewal and maintain register of precautionary notifications
- assist project leads in preparing programmes, resource schedules and fee draw downs
- set up new projects and audit project information in Rapport
- maintain spreadsheets showing the status of main appointments and subcontractor appointments, ensure timely execution of all subconsultant appointments, and file all appointment documentation within the project QA structure
- send all incoming contracts and appointments to the practice’s insurers, forward insurers’ comments to clients or their legal advisers, and liaise with project leads to agree on terms and scope of services
- coordinate all necessary actions on sub-consultancy agreements
- set up all new projects in Newforma document management software, assist project leads in configuring document management systems, and audit Newforma to ensure that project information is up to date
Additional responsibilities:
- coordinate staff training in use of Rapport and assist with Rapport queries (training will be offered)
- coordinate staff training in use of Newforma and assist with Newforma queries (training will be offered)
Required skills and experience:
- bachelor’s degree or equivalent in construction discipline or project management
- experience in project management in architecture or other construction discipline
- experience of document control (desirable but not essential)
- experience of Rapport and Newforma (desirable but no essential)
- good verbal and written communication skills
- ability to plan work and meet deadlines
- ability to manage, identify and mitigate risks
- understanding of building contracts and procurement routes
- ability to work independently, manage multiple projects simultaneously, and collaborate effectively within a team
