Haworth Tompkins is hiring a studio coordinator to join its team in London.

Award-winning architectural practice Haworth Tompkins is currently looking for an exceptional studio coordinator with good organisational skills, a positive attitude to problem solving and a collaborative approach, to join our
creative support team.

The successful candidate will work closely with the administrative assistant. We are looking for someone with a confident, friendly and proactive approach, who will be at the forefront of our practice.

Practice coordination:

  • line-manage the studio admin assistant and provide day-to-day support
  • carry out PA duties for company Directors such as diary management
  • coordinate the directors meetings agendas, as well as all recurrent office meetings
  • support any EOT initiatives, organise representatives’ elections, and support task forces to deliver initiatives
  • oversee overhead budgets and charity donations
  • sign off spending and all travel bookings
  • send operational suppliers’ questionnaires yearly and update the tracker
  • communicate with chef and all suppliers, review and change suppliers if needed
  • run the CPD group with the Head of HR and employment groups representatives
  • coordinate the overall seating strategy
  • coordinate studio improvements and clear outs when needed
  • support the head of communications and the comms assistant in planning events
  • open and close the office when applicable
  • ensure main info@ inbox actions are being followed up
  • plan the Christmas party, the away day and the directors’ away day
  • organise the study trips

Health and safety:

  • be the first point of contact for health and safety in the studio
  • oversee the health and safety register and organise maintenance and servicing for the studio and workshop
  • organise and attend the six monthly health and safety meeting and fire risk assessment walk around
  • review studio risk assessments yearly
  • support the S&R designer in updating the environmental register and calculation of the carbon footprint
  • support the QA manager in the renewal of Construction Line, & SSIP accreditations
  • organise CSCS tests
  • oversee filing of data needed for the ISO (transfer notes, meter readings)
  • supervise the use of model making workshop

HR support:

  • do the studio inductions for new starters
  • support HR with recruitment when required
  • support head of HR in updating contacts, altering holiday and resetting expenses and timesheets
  • help head of HR coordinate the wellbeing week

Reception support:

  • cover front desk duties during breaks and holidays
  • be second in line to answer the phone

Please note we would consider this position to be either four or five days a week. This role is fully based at the office.
