Studio coordinator
at HBA

HBA International is seeking a studio coordinator to join its team in London.

HBA International is a dynamic interior design company, specialising in high-end hospitality interiors. With over 20 offices around the world, our inspiring 40 strong West London studio (where you will be based) offers a bespoke service creating beautiful, well-planned interiors for luxury hotels, restaurants and spas.

Key responsibilities include:

  • assist designers servicing client and supplier meetings – including Conference Call set up (using: Skype/Webex/Global Call/Go to Meeting/Join Me – Full IT support will available to assist with this)
  • ensure the client-facing areas are constantly kept clear and tidy
  • organize and manage the office stationary supplies
  • management of office tidiness
  • manage meeting bookings
  • manage sundries/supplies for front-of-house hospitality
  • manage magazine subscriptions
  • library handling and liaising with suppliers for appointments and keeping
  • library up to date
  • director-level administrative support
  • assist with travel arrangements
  • book taxis, hotels, printing boarding passes – working alongside the travel agent
  • completion of expenses and other ad-hoc responsibilities
  • ensuring supplier invoices and general expenses are collated and sent to accounts in a timely manner
  • assist in organizing office events and general support for event planning activities
  • meeting preparation, assisting in the preparation of materials and collateral for client meetings
  • collateral sent out and postage; organizing posting and packaging

Required skills:

  • four years’ previous experience in a similar fast-paced deadline‐driven environment
  • excellent communication skills both verbal and written
  • professional telephone manner
  • ability to take own initiative
  • good planning and problem-solving skills
  • professional with a sensible approach

Essential IT skills:

  • Excel (advanced), Word (advanced), Powerpoint (intermediate)

Desirable IT skills, but not essential:

  • Adobe Creative Suite: Photoshop/InDesign
  • experience of AV Systems/Conference Call set up
  • experience of working in a creative environment

This is a full-time position within the HBA London Studio and office hours are 9am-5.30pm Monday to Friday.
