Bid assistant

Hilson Moran is seeking a bid assistant to join its team in London, UK.
The focus of this role is to support the production of high quality pre-qualification, bid and presentation material which help’s Hilson Moran win new work, along with the provision of day-to-day support to the marketing team.
They will work primarily under the direction of the Bid Manager and Marketing Manager, along with other members of the marketing team (Graphic Designers, Digital Marketing Coordinator) but will also be required to communicate and work with Management Directors, Design Directors and Departmental Heads of various Specialist Services Groups to deliver effective bid and marketing support.
The ideal candidate will have 1-2 years’ experience in a professional environment (architecture/engineering/construction preferred, but not essential), be highly organised, with a positive attitude, and working knowledge of the MS Office and Adobe Creative software (primarily In-Design).
Your responsibilities will include the following, but not limited to:
PQQ/Bid Production
- reviewing PQQ’s and RFP’s to understand requirements and help plan responses
- creation of capability statements, PQQ’s, proposal documents and presentations using standard company templates
- completion of standard company information on digital tender platforms
- tailoring of standard content to align with proposal requirements
- collation of input into proposals and proof reading of technical responses
- setting up and attendance at bid review meetings with senior personnel
- internal liaison with Directors / specialists to gather and collate input
- general administration of bid activity and related documentation
PQQ/bid administration
- production and administration of CV’s for all company design/engineering staff
- administration of model answers documentation/information
- administration of tender portals
Marketing & administration support
- administration of Digital Assessment Management system (Open Asset) including uploading staff CV’s, project content and imagery and working with Graphics Designers to keep staff photos up to date
- in conjunction with the bid manager and marketing manager, creation of case study material/project profiles for use across all marketing collaterals/platforms (bids documents, website, social media, etc)
- in conjunction with the Marketing Manager, help manage and coordinate professional and corporate memberships across the business
- general admin support including booking conference and event tickets and supporting event management/coordination
We’d like to hear from you if you have:
- 1-2 year’s experience of working in a professional environment, construction / architecture / engineering preferable, but not essential (3-4 year’s experience if not degree level qualified)
- preferably educated to degree level (or equivalent) in a related field or subject with relevant transferable skills
- intermediate level in MS office suite
- basic level in Adobe InDesign
- good attention to detail with ability to review and summarise large quantities of information
- strong written communication and numerical skills
- organised and able to work to tight deadlines
- positive, professional attitude with willingness to interact/communicate with individuals at all levels of the organisation
- willingness to engage and develop understanding of technical terminology (although not a technical role and no specific technical experience required)
