Role overview
We are seeking a highly organised, discreet and proactive executive assistant to support the director. You’ll manage her day-to-day schedule, coordinate travel and events, and serve as the key interface between the director, our team, and external partners.
Key responsibilities
Diary and inbox management: coordinate the director’s calendar, filter meeting requests, and prioritise correspondence in English and French.
Travel and logistics: arrange complex international travel itineraries, visas, accommodations and on-site logistics.
Communications: draft and proofread emails, presentations, and briefing notes; manage incoming calls and visitor welcome.
Event coordination: organise client meetings, studio events, and public appearances (talks, exhibitions, awards).
Administrative support: handle expense reports, invoice approvals, filing, and office supply ordering.
Liaison and research: act as liaison with clients, consultants, galleries, and institutions; conduct ad hoc research as required.
Confidentiality and discretion: maintain the highest level of confidentiality in all matters.
Required rrofile:
- three plus years of experience as a personal assistant or executive assistant, ideally in architecture, design, or a creative field
- exceptional organisational and time-management skills, with keen attention to detail
- fluent in French and English (oral and written)
- excellent communication and interpersonal skills; professional phone and email etiquette
- strong problem-solver: able to anticipate needs and manage competing priorities
- highly proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable learning new tools (e.g., YouTrack, Slack)
- discreet, trustworthy, and adaptable to a fast-paced, international studio environment
- right to work in France; occasional travels
