Role overview: office manager
Our office is expanding, we are seeking a highly organised and proactive Office Manager to oversee the daily operations of our Paris studio. This is a pivotal role in ensuring the studio remains efficient, supportive, and inspiring – enabling our creative team to thrive.
Key responsibilities
Administrative support and communication: provide general administrative support and act as the main point of contact for internal and external communications.
Office operations management: manage the day-to-day operations and logistics of the studio.
Vendor and consultant coordination: liaise with external vendors, consultants, and service providers to ensure smooth operations.
Studio maintenance and IT support: oversee office supplies, coordinate basic IT support, and ensure the studio environment is well-maintained.
Human resources support: assist with HR processes including recruitment, onboarding of new staff, and tracking of holidays and absences.
Finance and payroll assistance: support payroll preparation and coordinate with the financial manager and external accountant for basic accounting needs.
Team scheduling and events: organise team calendars, internal meetings, and studio-wide events.
Document and file management: maintain documentation systems and ensure proper digital and physical filing related to project and studio operations.
Required profile
Relevant experience: proven experience in office or studio management, ideally within a creative or architectural environment.
Organizational and communication skills: excellent organisational, multitasking and interpersonal skills.
HR and financial literacy: familiarity with basic HR processes and financial administration.
Digital proficiency: proficient with MS Office and Google Workspace; knowledge of Adobe Suite and project/time management tools is a plus.
Language skills: fluency in English and French.
