Mangera Yvars Architects is hiring a studio coordinator to join its team in London.
Mangera Yvars Architects is an international award-winning architectural design practice providing architecture, interiors, landscape and masterplanning services for clients worldwide. We are looking for a studio coordinator to support MYAA in London. You will be at the heart of our operations, playing a crucial role in driving efficiency and maintaining a well-organized workplace. Experience complying with ISO 9001 standards will be essential in addition to prior experience in bookkeeping.
Responsibilities:
- administration: responsible for daily admin tasks and ad hoc responsibilities, ensuring smooth office operations (answering phone calls and responding to admin emails and enquiries)
- bookkeeping: update company accounts, issue invoices and follow up payments. Liaise with company accounts and administer VAT submissions. Provide information to company service providers for payroll and pensions and prepare wages
- ISO Quality Assurance, Information Management, Health & Safety: maintain records and adhere to ISO filing standards and support ISO audits, including all Health & Safety records
- team coordination: be the backbone of team meetings and schedules, fostering a collaborative work environment
- supporting senior staff: provide valuable assistance to principals, directors and senior staff, enabling them to focus on strategic goals including booking travel and admin support duties
- supply and meeting room management: order supplies and ensure meeting rooms are optimally organised
- tidiness and orderliness: maintain a tidy and inviting office space for enhanced productivity. Coordinate with cleaners and the maintenance to address issues promptly
- HR responsibilities: maintenance of staff attendance, holiday logs, staff needs
- property management: efficiently manage and coordinate properties owned by company principals, and directors, ensuring proper maintenance (dealing with tenancy issues, contracts, property accounts and providing support)
Requirements:
- previous experience adhering to ISO 9001 standards is essential
- bookkeeping experience and proficiency performing financial tasks, including, payroll, pensions, account updates and invoice management
- language proficiency: utilise your fluent English communication skills to interact confidently with clients and colleagues (telephone and video communications)
- excellent organisational and multitasking abilities to handle diverse responsibilities

- resourcefulness and attention to detail, ensuring smooth operations
