MAP Architecture is hiring an office coordinator (maternity cover) to join its team in London.

Location: based in our Farringdon, London office. Hybrid working can be discussed
Contract type: maternity cover. Fixed term January-June 2025
Hours: part time, 2-3 days/ week
Salary: £30 – £35K FTE (depending on experience)

About us

MAP is a young, forward-thinking architectural practice based in east London that works on a range of projects including homes, schools, mixed developments, heritage, conservation and masterplans. We want our work to improve the quality of life for the people we work with and to help conserve our environment for future generations to enjoy.

MAP began with two friends, Rob Mawson and Matthew Parker, working on a self-funded voluntary project. We have since grown into a diverse team of 11 people with a range of experience and expertise. We are committed to questioning our response to complex social and environmental issues, such as the climate emergency and the widening inequalities within the UK housing market.

About you

We are looking for an organised and proactive person who will work closely with our directors to ensure the smooth running of the office. The successful candidate will be a team player, with good attention to detail, and confident in using their own initiative. Our studio is a relaxed environment yet highly professional and the daily demands are ever-changing. Therefore, the ability to multi-task is essential.

Core skills and experience:

  • ideally would have two to three years’ experience of administrative role within the architecture/design sector
  • professional, friendly and creative attitude
  • detail focused with excellent time management and prioritisation skills
  • ability to work proactively on their own, as part of a team and under direction
  • strong organisational skills with an ability to work within a fast paced and exciting studio environment
  • ability to maintain the highest level of confidentiality, diplomacy, and professionalism
  • ideally proficient in MS Office and Adobe Creative Suite (InDesign, Illustrator and Photoshop) and/or a fast learner!
  • fluent in English
  • great written and verbal skills
  • a passion for conserving the environment

Role description

Office management:

  • general organisation and upkeep of the office, including restocking office supplies, acting as key point of contact for building management and cleaning team
  • managing front desk activities, including answering phones, monitoring speculative emails, greeting visitors and handling incoming and outgoing post
  • managing and helping maintain our office space, including organisation of samples library, keeping tidy after meetings and events, organising of supplies and storage and pro-actively implementing new strategies to keep our office a fun and exciting place to work
  • working with our external IT team to manage any ad hoc IT issues and ongoing upgrades and maintenance
  • ensuring health, safety and wellbeing standards within the office are being upheld
  • managing subscriptions and certifications, such as RIBA, ARB, ISO etc
  • providing general team support as required
  • ad hoc support tasks such as note taking, typing, filing etc.
  • arranging and coordinating team parties, outings and events

Marketing and business development:

  • managing website updates, including adding new projects and feed news
  • managing the social media accounts (Instagram and LinkedIn), creating and posting weekly content
  • managing press enquiries and the company’s BowerBird account
  • arranging project photography, liaising with clients and an existing database of photographers
  • bid/graphics support – supporting the partners with bid writing and submissions
  • making arrangements for business-to-business meetings with senior team, clients, and consultants, including coordination of calendars and booking locations
