Martin Brudnizki Design Studio is hiring a receptionist to join its team in London.

MBDS are looking for a friendly and professional receptionist to join our London studio. This person will be the first point of contact for our clients and visitors at our London studio. Your role will be pivotal in providing a welcoming atmosphere and ensuring smooth communication within our team and with external parties.

As the receptionist, you will manage the front desk, greet guests, handle incoming calls and inquiries, and coordinate administrative tasks to support the daily operations of our studio. The ideal candidate will possess excellent communication skills, have a positive attitude, and demonstrate the ability to work in a fast-paced environment.

Responsibilities:

  • managing reception, Monday to Friday between the hours of 8:45am to 5:30pm (office-based role)
  • opening/closing the studio
  • listening to voicemail messages and relaying them to the intended recipient
  • acting as first point of contact for all calls; screening and directing messages
  • providing studio information to callers
  • greeting visitors – standing up to greet them ‘welcome to MBDS’ take coats/bags
  • offering refreshments – tea, coffee, water
  • being aware of daily staff movement in/out of the Studio (calendar) and managing the WFH calendar
  • ensuring the reception area is kept tidy – all personal items put away in draws
  • booking all cars for business-related travel for staff as and when required

Meeting room:

  • managing meeting room bookings
  • ensuring the meeting rooms are always kept clean and tidy
  • checking the calendar daily to ensure there are no overlaps in meetings
  • preparing for visitors (equipment needed, refreshments etc.)

Contact database:

  • maintaining the contact database
  • adding any new details as requested
  • updating existing details as necessary

Couriers/deliveries/post:

  • distributing all post to the studio as soon as it arrives (including/determining invoices once date stamped)
  • receiving deliveries
  • arranging all couriers both domestic and international

Assist the office manager with the following (as requested):

  • ordering inventory supplies – stationery, bathrooms and kitchen
  • maintaining studio emergency and disaster recovery information
  • facilitating the health and safety administration
  • arranging monthly staff events
  • keeping the office clean and tidy at all times
  • coverage as needed

General:

  • managing the studio/meeting room email account (daily)
  • assisting with any general ad hoc Studio duties as requested (supporting the PA/HR if requested)
  • liaising with all MBDS entities as needed (New York, MBDS Holdings, And Objects, Art Consultancy etc.)
  • sending regular reminders for WFH requests including monitoring no days are too saturated with requests
  • assist with monthly Amex reconciliation for some of the studio associates

Requirements:

  • proven experience as a Receptionist or in a similar role
  • exceptional interpersonal and communication skills
  • proficiency in Microsoft Office, Outlook and experience with office equipment (e.g., printers, copiers)
  • strong organisational skills and attention to detail
  • ability to handle multiple tasks and prioritise effectively
  • a positive attitude and a friendly demeanor
