McLaren.Excell is seeking a highly organised and proactive studio manager to support the operational functions of our dynamic and growing architecture practice. The ideal candidate will be a pragmatic problem solver, capable of managing multiple projects in a fast-paced environment while ensuring smooth operations across the studio. This is a multi-faceted role that offers the opportunity to grow with the business as we expand.
Key responsibilities:
Office management:
- manage office services (internet, phones, utilities) and keep supplies stocked
- coordinate IT needs with external consultants and oversee office insurances
- organise office activities, team trips and quarterly CPD sessions
- handle general office tasks and studio email management
HR:
- collaborate with our HR consultant to update staff handbooks and contract templates
- support recruitment, drafting offer letters, managing payroll and onboarding new team members
- approve holidays, manage sick leave records and handle minor HR issues alongside directors
Accounting:
- work closely with accountants and bookkeepers to manage expenses and invoices
- ensure timely submission of VAT returns and handle payroll reports
- track and manage the director’s expenses and client-rechargeable expenses
- send project invoices, chase unpaid invoices and handle client queries
Project management:
- forward client enquiries to the directors and manage project briefs
- initial setup of project processes across all systems
- support the team in organising project resources, timelines and budgets
- keep track of project progress, resourcing and deadlines while maintaining communication with clients
- ensure accurate completion and handover of projects
Business development:
- assist directors in developing new business opportunities, particularly in the commercial sector
- create studio portfolios and attend networking events to promote the practice
- organise and manage participation in relevant fairs and events
Marketing:
- work with our PR agency on award submissions and photoshoots of completed projects
- manage the studio’s website and social media platforms (Instagram, LinkedIn, Pinterest)
- create quarterly newsletters and collaborate with the directors to develop a posting schedule for social media
- manage the studio’s image library and assist with photoshopping
Directors admin:
- manage their calendars and remind them of important meetings/appointments
- minimal PA admin – paying expenses, renewing car insurance, phone contracts etc.
What we’re looking for:
- a highly organised individual with strong attention to detail
- ability to manage and prioritise multiple tasks and projects in a fast-paced environment
- positive attitude with a proactive approach to problem-solving
- excellent communication skills and the ability to build constructive working relationships across the team
- experience in studio or office management, project coordination, HR or a similar role is highly desirable
- InDesign, Illustrator and Photoshop skills required
