Museum Studio is looking for a bid assistant to join its team in London.

Chargeurs Museum Studio (CMS) is a worldwide group of companies providing creative and professional services to the cultural and commercial experience markets.

Our businesses include the design agencies Event and MET Studio, project management consultancy DesignPM and large-format printers Leach in the UK, specialist fabricators Hypsos in the Netherlands and Design&Production in the USA, and fine art publishers Skira in Milan.

We have an exciting opportunity for a bid assistant to join our London hub.  This is a newly created position that will play a key role in supporting our New Business team across our UK agencies Event, MET and DPM and to help support the growth of our group, Museum Studio.

Key responsibilities:

  • work alongside the senior bid manager to monitor and examine all tender opportunities arising on platforms such as TED, MyTenders, MuseumInsider and RFP-Leads
  • gather data about leads, named accounts, contacts, context, competitor landscape and market conditions
  • qualify leads and present evaluation to the new business group
  • work closely with the senior bid manager and the marketing and communications manager to improve the quality of data related to leads, contacts and opportunities in the pipeline
  • complete the supplier portal sign-up processes for key strategic clients
  • monitor the shared new business inbox and respond to or redirect enquires as appropriate
  • take principal responsibility for data entry for the CRM, ensuring key gaps are filled and ensuring consistency in the quality of data entered by all users
  • maintain the pitch database alongside the senior bid manager
  • undertake research on markets, sectors and opportunities, producing briefing papers to summarise findings
  • support in ongoing reviews of sales performance, pitch cost, resource expenditure, etc.
  • provide support to identify, monitor, interpret and forecast trends within our existing market sectors, presenting conclusions to internal stakeholders as required
  • act as graphics support, producing and maintaining project profiles and CVs using InDesign
  • assist in collating draft documents and researching additional information for submission
  • support in production of pitch materials and asset management

Qualifications, skills and experience:

  • demonstrable experience working in a similar role in a B2B agency
  • creative, cultural, museum sectors an advantage
  • experience working with and extracting data from CRM tools
  • proficiency with Microsoft 365 Office, InDesign (or similar software) and SharePoint
  • excellent written English
  • ability to work independently, taking initiative and being proactive
  • experience working in collaboration with team members from across the organisation
  • ability to work flexibly, adapting to new ways of working, collaborating and incorporating other disciplines in the development of solutions
  • excellent time management and ability to balance multiple priorities
  • effective communication skills and an ability to exchange ideas coherently and confidently provide concise insights
  • detail orientated with a critical eye

Nice to have:

  • passion for culture, for design and for the art of creating compelling visitor experiences
  • fluency in another European language or Arabic
  • data visualisation skills
  • experience with web analytics, SEO and SEM
