Now, we’re looking for a highly motivated and detail-oriented administrative and executive assistant to join our Stockholm team. This is a unique opportunity to work side-by-side with our founder Luca Nichetto, and become a key connector across our global projects.

Your role
As our administrative and executive assistant, you’ll help drive the rhythm of the studio. You will support the leadership team by keeping everything running smoothly – from calendars and travel to project administration, budgeting, and cross-office coordination.
You will be the trusted go-to person who knows what’s happening, when and why – and who makes sure nothing slips through the cracks.
Key responsibilities:
- manage calendars, priorities and communications
- coordinate and streamline daily operations across the Stockholm studio
- be the main link between the Stockholm and Venice teams – ensuring smooth internal communication
- handle studio administration: invoicing, expenses, budgeting, reports, payments
- liaise with accountants, consultants, legal teams, and suppliers
- organise meetings, press interviews, conferences, and speaking events
- support client communications and project follow-up – from contracts to delivery
- manage HR-related tasks: hiring, onboarding, employee documentation
- oversee procurement, office supplies, maintenance, and facility needs
- welcome guests, handle deliveries, and be the face of the studio when needed
What we’re looking for:
- three plus years’ of experience in a similar role — specifically within the creative, design, or cultural industries
- strong skills in administration, budgeting, and financial overview — you’re comfortable with numbers and detail
- super organised, with excellent multitasking and time management abilities
- independent, proactive, and calm under pressure
- excellent written and verbal communication skills
- high level of discretion, empathy, and professionalism when working with clients and collaborators
- experience with administrative systems and internal processes
- familiarity with royalties and IP is a strong plus
- knowledge of the Swedish and/or Italian tax system is a big asset

Position details:
- full-time role based at our Stockholm office (Mälarhöjden)
- six-month trial period with the goal of permanent employment
- you must have the right to work in Sweden (non-EU applicants must secure necessary permits independently)
