Job overview
The office manager with graphic design and bid preparation capabilities plays a key role in managing office operations while supporting the firm’s design needs, particularly for request for proposal (RFP) submissions. The ideal candidate will ensure efficient office operations and deliver visually polished RFPs and client-facing materials.
Key responsibilities
Office management:
- oversee daily office operations, ensuring a clean and efficient workspace
- manage office supplies, equipment and vendor relationships
- arrange and book team days out and social events
- coordinate meetings, schedules and travel arrangements for staff
- serve as the main point of contact for office inquiries, calls and visitors
- organise physical and digital filing systems, assist with invoicing and track office expenses
- support HR functions, including recruitment, onboarding and office policy management
Bid preparation:
- design and format RFP documents, ensuring high-quality, branded and visually appealing submissions
- collaborate with staff to create graphics, diagrams and layouts for RFPs
- maintain and update design templates and assets for consistency
- assist with the design of marketing materials such as brochures, presentations and digital content
Key qualifications:
- experience in office management and graphic design (InDesign, Photoshop and Illustrator)
- strong organisational and multitasking skills with attention to detail
- excellent communication and time-management abilities
- proficiency in Microsoft Office
Education and experience
No degree required – two to three years’ experience in a similar role and experience in managing RFPs and graphic design is preferred.
This role is perfect for someone who enjoys blending administrative duties with creative graphic design, especially in producing RFP submissions.
