Spaceagency is seeking an administrative assistant to join its team in London.

Spaceagency is looking for an administrative assistant to join its London studio, providing support to the studio manager and both the London and Milan studios.

Spaceagency is a design agency based in London and working globally. Our expertise lies in how people experience spaces. We design people’s journeys through urban, cultural, sporting, event, retail and hospitality spaces. Our international client portfolio includes cities, global brands and collaborations with renowned architectural practices. Upcoming projects include public realm wayfinding, urban experience and exhibition design in the Middle East, Asia and the UK

Responsibilities of the administrative assistant will include:

  • office administration – ordering office supplies, managing inventory and coordinating maintenance requests
  • calendar management – scheduling meetings, appointments, interviews and helping managing partner’s diaries
  • communication management – answering phone calls when needed, directing messages, and responding to emails
  • file maintenance – organising and updating digital files and some physical files
  • greeting visitors, directing them to appropriate personnel
  • data entry – inputting information into spreadsheets and databases
  • travel arrangements – booking travel tickets and accommodations for staff
  • support project teams with documentation and logistics as needed
  • assisting the studio manager with HR and marketing responsibilities

Required skills for an administrative assistant:

  • strong organisational skills – ability to prioritise tasks and manage multiple projects simultaneously
  • previous experience in an administrative or support role
    excellent communication skills: Clear and concise verbal and written communication
  • full grasp of Microsoft Office Suite – expertise in Word, Excel, PowerPoint
  • Adobe Creative Suite desirable
  • attention to detail: Accuracy in handling data and completing tasks
  • time management skills: Efficiently managing workload and meeting deadlines
  • interpersonal skills: Ability to interact effectively with colleagues at all levels

This is a full-time position based in London. Candidates must be eligible to work in the UK.
