Studio Egret West is seeking a studio assistant to join its team in London.

Studio Egret West is a multi-disciplinary practice of 69 urban designers, landscape architects, graphic designers and model makers working on a range of mixed-use, place-making projects.

We are looking for an enthusiastic studio assistant to join our award-winning architecture practice and showroom in Clerkenwell. The studio assistant role is an important position on leading internal communication within the studio and managing the physical, digital and social environment of our workplace.

This role is perfect for a friendly and charismatic individual looking to gain experience, working in a highly creative environment.

The ideal candidate will have excellent communication skills and a confident telephone manner. Experience using Gmail and Microsoft suite (Word, Excel) is desirable.

Responsibilities:

  • answering incoming calls and being the first point of contact, greeting visitors and directing them to internal meetings
  • managing meeting bookings through a calendar system
  • organising incoming and outgoing post, daily
  • booking taxis and organising courier deliveries
  • preparing the meeting rooms, making and serving coffee and refreshments for meetings
  • monitoring the ‘hello’ email account, circulating relevant emails to appropriate staff members
  • booking travel including international flights and accommodation for the directors
  • ordering weekly groceries and responsible for ensuring supplies are topped up
  • managing the stationary supply and make sure we are always stocked up
  • assisting with organising staff events such as studio trips abroad and social outings
  • ordering lunches for meetings and CPD’s
  • organising the CPD calendar and liaising with CPD providers to organise the meetings
  • organising marketing events, talks and exhibitions, including catering, staff and security
  • managing petty cash, keeping receipts in the correct folders
  • assisting the studio and HR manager with holiday approvals and monitoring sick days
  • assisting with the Social Value Education steering group, managing the work experience calendar and ensuring that work experience students are greeted and introduced to their teams on their first day
  • assisting the Marketing Lead with the CRM database and other ad-hoc tasks
  • maintaining photocopiers/printers/ including monitoring supplies
  • making sure that the studio is presentable and tidy and organising repairs for fixtures and fittings, as and when needed
  • ordering weekly cleaners supplies and responsible for ensuring supplies are topped up
  • ordering recycling bags, and driving an environmentally friendly approach to the studio
  • assisting the studio manager with maintaining all health and Safety documents and be responsible for keeping the PPE records up to date
  • be willing to undertake First Health, Fire Marshall and Mental Health first aid training
