Office assistant
at UPP Architects + Town Planners

UPP Architects + Town Planners is seeking an office assistant to join its team in London.

Working closely with the directors and the practice manager, the office assistant will play a vital role in maintaining the efficiency and organisation of the practice’s day-to-day operations.

This position offers a front-facing, people-orientated opportunity, where the office assistant will handle enquiries, manage phone communications and provide essential administrative support across a variety of tasks.

The position is an excellent opportunity to upskill and gain comprehensive insight into business operations, project and financial management.

Areas of responsibility

General office:

  • assist with the day-to-day running of the London studio, ensuring smooth and efficient operations and administrative procedures
  • manage all IT, software and telecoms across the business while working closely with the external IT consultant
  • assist with all aspects of studio maintenance, including general housekeeping, maintaining office supplies and sorting post
  • assist with organising CPDs
  • plan and coordinate logistics and catering for events, including the summer party, Christmas party and internal socials

Administration:

  • manage phones by answering calls, filtering them, taking messages and handling enquiries
  • assist with practice management and project support, including helping to prepare fee proposals, reaching out for third-party quotes, filling out planning forms and posting documents as needed
  • provide limited PA support, including booking travel such as taxis, flights and accommodation
  • assist with legal documents such as insurance renewals and RIBA policy documents
  • support the practice manager in scheduling content for social media channels
  • assist with finance related admin including helping to raise and manage invoices on Xero, collating sales figures and chasing debtors
  • assist with reconciliation of company phone bills each month

Hours: 9am to 6pm, Monday to Thursday, 9am to 4pm on Friday

(Please note, due to the nature of this role, this will be a full-time office-based position.)
