White Red Architects has an opportunity for a studio manager (maternity cover) to join its team in London.

White Red Architects are looking for an experienced studio manager to join it’s growing team based in Shoreditch. This position is for a maternity cover on a fixed-term of up to 11 months. Successful candidates will ideally have a working knowledge of CMap and financial software. They will be responsible for the day-to-day office management of the practice and its procedures.

Key responsibilities:

  • administrative support to the team
  • liaison with the building manager and company suppliers
  • ensuring our health and safety obligations are met and maintained
  • management of office assistant
  • providing general support to directors
  • accounts management, including monthly invoicing, credit control, payroll processing, accounts payable, bookkeeping in Quickbooks, VAT returns and financial reporting
  • liaison with external accountants for preparation of payroll and end-of-year accounts
  • implementation and management of procedures and systems to improve best practice
  • HR administration including recruitment, onboarding, retention
  • annual insurance renewals
  • assisting the team with fee proposals/appointments and supporting information for bids as required
  • overseeing organisation of events (team and client)
  • reception duties including meeting and greeting guests
  • diary management to include scheduling meetings and arranging travel
  • ensuring project and office filing systems are maintained

Key skills, experience and competencies:

  • demonstrated experience with CMap or similar project management software
  • demonstrated experience with accountancy software (Quickbooks or Xero preferred)
  • excellent knowledge of Microsoft Office
  • excellent attention to detail
  • previous experience in a similar role, preferably in architecture or design
  • excellent communication skills (both written and verbal)
  • excellent organisational skills and ability to work under pressure and often autonomously
  • friendly and approachable, great with our clients and people
  • confident communicator at all levels
  • self-motivated
  • knowledge of Adobe Indesign is preferred but not essential
