Role overview

As an administrative assistant at XUL Architecture, you’ll play a pivotal role in the smooth operation of our studio. This is an opportunity for someone passionate about organisation, communication, and supporting a dynamic architectural team. With a focus on neuroarchitecture, you’ll have the chance to learn about this exciting field while contributing to the efficiency and success of the practice.

We’re looking for an outgoing, friendly person with a growth mindset, ready to take on challenges and develop within the role as our practice evolves.

Key responsibilities

Office administration:

  • manage day-to-day administrative tasks, including scheduling, correspondence and filing
  • maintain office supplies and ensure the studio operates smoothly

Personal assistant to directors:

  • provide administrative and organisational support to the directors
  • manage the directors’ schedules, ensuring efficient time management
  • assist in organising meetings, taking notes and following up on action points

Social media support:

  • assist in managing the practice’s social media accounts (e.g., Instagram and LinkedIn)
  • schedule and post engaging content showcasing the team’s work and achievements
  • collaborate with the team to generate ideas for content, including updates on neuroarchitecture
  • monitor engagement and respond to comments or messages

Project support:

  • assist with the preparation of documents, reports and presentations
  • maintain and organise project files and records

Client and consultant liaison:

  • act as a point of contact for clients and consultants, ensuring professional and personable communication
  • schedule meetings and maintain calendars for team members

Research assistance:

  • support the team in researching neuroarchitecture trends and related topics
  • compile and present findings to contribute to project development

Career development:

  • engage in continuous learning opportunities within euroarchitecture and the architecture industry

  • experience in an architectural or creative environment is a plus but not essential
