Jackdaw Studio is seeking a project and studio manager to cover maternity leave at its practice in London.

Jackdaw Studio is a small friendly east London-based interior design studio working in the commercial sector, mainly on workplace design. We have a hands-on approach to design, and enjoy producing great work for good clients. We believe in investing in our people and creating a supportive work environment.

You should be self reliant with excellent organisational skills. The role requires working with the whole team, clients and external collaborators so you must be confident and a good communicator. Previous experience is a must.

This is a part-time two-three days p.w. role – we can flex days and hours for the right candidate. The role will begin in April – May 2019.

As the project manager you will:

  • ideally have experience and awareness of the design/construction/architectural/sector
  • have experience of supporting a team of people
  • prepare resourcing schedules, fee proposals and payment schedules for all new projects alongside directors
  • prepare schedules and budgets for design and build projects alongside QS
  • administer all contracts to include traditional design projects and design and build projects
  • knowledge of appropriate contracts is advisable
  • liaise with clients, external project managers, main contractors, contractors and consultants as required
  • administer purchasing for all design and build projects to include liaising with workshops and suppliers and main contractors to ensure delivery
  • produce a weekly status report of all live projects for the weekly design team meeting and work with the design team to set and maintain schedules
  • create and manage project plans for live design and design and build jobs
  • track and invoice studio time as appropriate
  • maintain cost and project tracking during live projects
  • ensure all staff members complete timesheets

As the studio manager you will:

  • assist in financial management including tracking and managing client invoicing and accounts payable, and liaising with our accountant and bookkeeper as required
  • work confidently with our accounting software Xero and our job management software Workflow Max, producing invoices and providing information to our bookkeeper and accountant
  • perform HR related tasks as required (e.g. recruitment, contracts for new starters)
  • perform marketing related tasks as required e.g. website updates, managing press releases
  • perform overall administrative activities including answering phones, handling post, filing, copying, scanning and processing petty cash and expenses

Key competencies:

  • Microsoft Excel – it is important you’re an advanced user as this is a key tool for the role
