Project coordinator

Heatherwick Studio is looking for a project coordinator to support one or more ongoing and upcoming projects in London.
Your role
You will be working closely with the project manager group to provide effective and efficient administrative support to the project team, contributing to the collective success of all projects.
Your responsibilities:
- administrative responsibilities including filling, document control, printing, database keeping, shipping, expenses management and any research needed
- maintain the project calendar and act as the main point of contact for scheduling meetings and other project activities
- act as the main correspondence to any internal and external project inquires
- work with the project manager and project leader to track any changes to the programme and scope
- understand the project legal and contractual agreements
- assist the contract manager and project manager in the preparation of supplementary information required in the project contract
- assist project manager and business team with setting out resourcing scenarios for new projects
- set up design panel reviews; prepare agendas and meeting meetings to circulate within the project team
- book and prepare travel itineraries for the project team’s travel
- make applications for visas – if required for the project team
- assist team with preparation of documents when needed.
- reception duties including meeting and greeting visitors
- general support between teams regarding working environment and materials
- assist with internal and external project reports
- as a member of the team, assist the project support group when necessary
- coordinate with other studio departments when assistance needed
Your skills and experience:
- excellent IT skills including Microsoft Office Suite – proficient user of Word, Excel, PowerPoint and Outlook
- Microsoft Projects (desirable)
- experience of meeting facilitation; concise and accurate agenda and minute taking
- knowledge of handling contracts and preparing reports
- experienced in document preparation and document control
- ability to manage multiple tasks simultaneously, resilient to pressure
- excellent written and verbal communication
- great planning and prioritising skills
- excellent English, additional foreign language would be advantageous
- previous architectural or design or project support experience (desirable)
- proactive, resourceful with an agile mind
- logical thinker with excellent attention to details
- great team player
