Part-time project coordinator/administrator

Price & Myers is recruiting a part-time project coordinator/administrator to join its team in Oxford.

We are looking for a bright and capable part-time project coordinator/administrator to join our busy Oxford office in a varied role. You will need a service-driven approach together with a flexible, positive attitude. You will work alongside our Oxford team to competently manage the demands of a fast-paced and professional creative office.

With excellent verbal and written communication skills, you will have a professional ‘can do’ attitude, bags of common sense and show a high level of initiative. You should have a proactive approach, an eye for detail and be proficient in Microsoft Office. InDesign experience would also be a bonus.

Duties will include

Project coordination:

  • to receive, file and issue all drawings on all large projects – both by use of the internal server systems, but also using the file management system and external extranet sites – 4Projects, Aconex, Onehub, ASite, Dropbox etc.
  • to assist with fee letters, proposals, competitions and PQQ/ITT responses
  • to ensure that the project folders meet office standards and are being maintained in relation to all filing, naming and organisational systems
  • to manage the group project QA process
  • to manage the paper filing, if any, for projects, setting up project files for all new jobs, manage all the filing of paper documents for the group
  • to assist partners and associates in the preparation of project fee schedules
  • to assist the group with their programming and summaries

Administration:

  • organising incoming and outgoing post
  • assist with the organisation of general maintenance and upkeep of the office
  • assist with organisation of internal events
  • minute taking
  • assist with scanning, printing, filing, editing of drawings, documents, emails etc. as required

The people we need must have:

  • at least two years’ experience gained in an engineering/architectural design studio (or similar)
  • the ambition to make a significant contribution to the efficiency and success of our practice
  • very good knowledge MS Word, Excel and Outlook
  • strong organisational skills with meticulous, thorough approach
  • good written and spoken English with a pleasant and professional telephone manner
  • a flexible and positive approach with good time management skills and ability to work to deadlines, both as part of a team and independently
  • enthusiasm and willingness to work within a small and busy team
  • confident, friendly, proactive, with masses of common sense
  • experience of Indesign would be an advantage but not essential
  • have an interest in building, engineering, architecture, and the arts

This is a part-time post, currently 22.5 hours a week. The hours could be spread over three-five days to suit the individual.
