Practice administrator

Charlton Brown Architecture & Interiors is seeking a practice administrator to join its team in London.
We are a friendly north London team of architects and are looking for a great team member to join us and look after this important role.
Supporting a team of architects, the practice administrator will oversee all the front of house duties and team administration for the practice. Reporting to the practice manager, and additionally working alongside various members of the team including the finance manager, HR, IT and project teams for specific tasks and projects.
Responsibilities include:
- meeting and greeting clients and visitors
- answering telephones, screening calls, taking messages
- organising couriers, cabs and deliveries
- ensuring meeting rooms are booked and set up for any upcoming appointments
- team administrative support e.g. minute taking
- monitoring the new scheduling for hybrid working
- calendar management including overseeing Zoom accounts and meetings
- assisting the practice manager in the management of facilities and office administration
- monitoring and replenishing practice supplies, including ordering and local purchases
- set up for monthly team meetings (updating agenda and providing supplies for meetings)
- keeping office tidy (and encouraging ALL to contribute to this – team effort)
- assisting finance manager with invoices, and compiling other information as required, running FF&E spreadsheets
- providing HR support (e.g. organising appraisal meetings, inputing and keeping track of holidays, sick days, timesheets, etc)
- inputting new projects, leads & client information to the project management system (CMAP)
- organisation of events including UK & overseas trip for the entire team (self included)
- occasional travel arrangements for Directors
- providing social media support to the PR team, as required
- using InDesign for business cards and presentation documentation (assisting project teams), designing advertisements (desirable skill to be able to support)
- ad hoc admin duties as required
The successful candidate will be personable, friendly, dedicated and have a genuine interest in architecture and design. The candidate will also have good organisation, liaison and time-keeping skills. IT skills are essential (proficiency in using Mac is preferred) and IT support experience would be helpful. Candidates will have knowledge of Apple applications (pages and numbers) and preferably have some experience in using InDesign, creating presentation documents etc.
The role will be office based 9.30am to 5.30pm.
