Practice manager and head of ops
at Piercy&Company
Piercy&Company is looking for a proactive, part-of-the-studio team practice manager and head of ops to join its London office.
This is a central role managing the core operational functions of the studio, ensuring administrative processes and day-to-day activities run smoothly. Part of the studio and communications team, you will be working closely with the HR and operations manager and managing the studio assistant to support a growing practice of 80+ architects and designers.
The successful candidate will be experienced in a similar role, and have excellent demonstrable communication and organisation skills. An interest in the arts or architecture would be a welcome bonus.
General duties include, but are not limited to:
Day to day running of the studio:
- overseeing facilities maintenance and repairs for air conditioning, lighting, printers electricity, cleaning contracts, stock, business rates, building insurance, lease agreements and any other studio/ workshop appliances
- supporting the studio assistant where necessary with welcoming visitors to the studio, answering the phone, providing refreshments for meetings etc
- coordinating the planning and execution of studio events (internal and external)
- assisting with marketing, website updates, social media platforms and business development
- managing loaned equipment; iPads, PPE, cameras, Oysters etc
- planning and scheduling CPD’s and lectures
- managing full on-boarding process and facilitating staff inductions
- line manager to receptionist, IT technician and PA
Health and safety:
- responsible for H&S/fire, communicating and maintaining Covid safety measures
- responsible for arranging H&S risk assessments in the office, filing and maintaining
- looking after all studio systems, identifying issues and improving these
Operations:
- leading and maintaining IS0 14001/9001 accreditation and annual audits alongside the HR and operations manager
- reports to MGMT and takes overall responsibility of organising studio ops
- office ops management and strategy – meetings/catering/cleaning/workshop/books/materials management
- managing growth and change: logistics/planning and assisting with landlord negotiations
- supports department heads (eg new business/comms etc) in delivering objectives
- assist HR in implementation of training/development initiatives
