BLDA Architects is seeking a project secretary/PA to director to join its team in London.

BLDA Architects, a leading and award-winning architectural practice in the luxury residential sector, has a vacancy for a project secretary/PA to director.

Located in a contemporary office in Chelsea, west London this is a fantastic opportunity to work for a prestigious practice who design very high value residential projects. This is a hybrid role providing a broad variety of work. You will be working alongside a friendly and professional administration team but will be interfacing with the architectural staff whilst supporting a Director.

PA to director duties include:

  • arranging meetings and diary management
  • monitoring the director’s inbox to obtain a good overview and understanding of their projects, enabling you to identify any critical issues
  • act as a point of contact in the absence of a Director
  • strong word processing skills are required to provide well-written correspondence
  • manage and book travel arrangements including flight and accommodation bookings
  • experience of using Salesforce
  • ad-hoc administration tasks

Project secretary duties include:

  • coordinate and review architectural and interior design information on projects
  • assist project teams by monitoring project workflows, anticipating busy periods and deadlines
  • issuing all project related information; drawings, schedules, specifications, sketches and drawing issue sheets
  • document controller responsibilities
  • recognise and record changes of scope with design change requests
  • liaising with clients, contractors, sub-contractors and consultants
  • responsible for general administrational duties such as filing, co-ordinating timesheets and researching information
  • proof-reading, formatting and setting up documents as requested

Skills:

  • five years’ previous experience in an architectural environment or similar
  • excellent organisational skills and committed to the advancement of projects
  • professional communication skills both written and verbal
  • proficient in Microsoft Office Suite and Adobe (Photoshop and InDesign)
  • excellent time management skills with the ability to multitask
  • attention to detail and strong problem-solving abilities
  • strong team player as well as the ability to work autonomously
