00 is hiring an office manager!
We are looking for an energetic and proactive individual. The role is to support the day‐to‐day admin and operations of 00 HQ in Hackney full time. It’s a fantastic opportunity to join our collaborative studio currently a mix of 20‐25 architects, designers, researchers and programmers. An opportunity to feel part of a passionate and dedicated team, looking to start ASAP with a handover before the end of November if possible.
About you
We are looking for someone with previous experience in a similar operations and company administration role, and most of all a person who is passionate about admin support, operations and a willing all‐rounder.

This is a varied role that requires someone who is calm and objective under pressure as well as great attention to detail and proficient in office management and operations.
Essential tasks:
- receiving and screening calls and emails
- day to day office facilities and premises operations
- HR processing ‐ maintaining current and regular processes
- cultural events ‐ organising in‐house lunch time presentations and office events
- finance ‐ managing subcontractors
- IT ‐ managing subcontractors
- general practice administration and ad‐hoc duties
Job description
Office and facilities:
- receiving and screening calls, monitoring the [email protected] email inbox
- collection and distribution of post
- work with the team to ensure the general office, kitchen and all areas of the studio are kept clean and tidy
- ordering office and kitchen stationery/supplies ensuring these are always fully stocked
- liaise with building manager regarding any office repairs, building works and security
- ensure all company insurances are renewed and up to date
- cultural events – organising in-house lunch time presentations & office events
- monitoring office cleaning
- maintaining office polices and managing health and safety procedures
- keeping records of office expenditure
- managing office subscriptions and membership renewals
- work with team on office space management
- manage sub tenants of the office
- always keep the team smiling
HR:
- responsible for New starter onboarding, issuing contracts, references, right of work etc.
- processing payroll with outsourced payroll provider
- maintaining and updating polices and procedures
- recoding sick and annual leave
- maintain confidential electronic employee files and records
IT:
- liaising with external IT support company
- purchase new equipment as advised by team
- record office software license information
- manage company IT user accounts
Finance:
- working with finance assistant ensure projects are invoiced on time
- ensure rent invoices to renters are issued on a monthly basis
- record and manage spend on company credit cards
- monitor company bank accounts
- ad-hoc finance duties as and when required
- work with project leads to ensure fee schedules are updated regularly
Project administration
- project filing
- support team on tender responses
- monitor tender portals
Salary: £27‐£33K per annum DOE (depending on experience/tasks)
