Studio coordinator

Maccreanor Lavington is seeking a studio coordinator to join its team in London.

Maccreanor Lavington is an award winning, design led architectural practice. We are currently looking for a studio coordinator to work in our lovely new office in Clerkenwell.

This is a key role in the studio and you will set a warm and welcoming tone for staff and visitors that is essential to building a strong practice culture. As the first point of contact, you will be both approachable and professional and enjoy building positive working relationships with colleagues.

This is a varied role where you will be responsible for front of house and the day to day running of the studio as well as providing HR administration and support. You will work closely with the practice manager, HR manager and other members of the administration team as required.

We are looking for someone who has a positive and enthusiastic outlook, is flexible, proactive and are a good communicator.

Responsibilities

Reception:

  • greet guests, provide refreshments and assist with any meeting set up requirements
  • manage the phones and direct all queries promptly
  • arrange meetings and organise travel as required
  • distribute post and deliveries, arrange couriers as required.
  • manage meeting rooms, meeting bookings and attendees
  • manage all catering and general welfare supplies
  • order all stationary and office supplies and monitor deliveries, ensuring stock levels remain constant

Premises:

  • ensure the office is a tidy, well organised and maintained environment
  • act as main contact for building manager and cleaners
  • liaise with suppliers, contractors and other building tenants as required
  • ensure office seating plans and phone extension lists are kept up to date
  • proactively support the company’s sustainability objectives in day to day activities such as recycling and selection of suppliers

H&S:

  • act as a fire warden – ensure fire exits are not obstructed and staff adhere to fire safety measures
  • update health and safety records and complete H&S administration tasks on an annual cycle

HR administration:

  • provide administrative support to the HR manager

Recruitment:

  • administration of job applicants on Pinpoint recruitment platform including listing new jobs, arranging interviews and creating records for staff hired.
  • onboarding – assist with new staff inductions

Appraisals:

  • schedule appraisal and review meetings and file records

Records:

  • update staff HR records on Rapport and HR records
  • office management support as required

Other duties as required

Skills and experience:

  • experience of working in a similar role for minimum of one year
  • strong communication skills and a positive attitude
  • excellent organisational skills, ability to multi-task and prioritise effectively to meet
    deadlines
  • excellent spoken and written English with good spelling and grammar
  • an eye for detail and accuracy
  • ability to work discretely and confidentially
  • confident, professional and self-motivated
  • ability to work alone or as part of a team
  • flexible and proactive
  • excellent IT skills (specifically Microsoft Office)
  • interest in and enthusiasm for architecture and design is a benefit but not essential.

Please note this is a hands-on role which involves some manual handling.
