Studio Gang is hiring an office coordinator/assistant de direction to join its team in Paris.
Studio Gang is seeking a full-time office coordinator to join our creative and collaborative team. The office coordinator will manage the day-to-day office operations of our Paris studio and play a key role in contributing to an engaging, supportive and fun workplace that fosters our shared studio ethos and culture of respect.
This role requires the ability to take ownership over tasks with a high level of initiative and follow-through, a keen sense of prioritisation to balance various responsibilities, and excellent communication skills. The office coordinator will interface with and support design teams, studio leadership, and visitors in Chicago and be a link to Studio Gang’s three additional offices in New York, San Francisco and Chicago.
This position reports to the principals-in-Charge and European director of business development.
Responsibilities
Office management:
- manage day-to-day office operations including reception, answering phones, handling shipping and deliveries, restocking supplies
- assist principals in Paris with administrative needs including travel, scheduling, meeting coordination, timesheets, reimbursement requests and presentation support
- manage front desk activities such as answering phones, greeting guests and handling shipping and deliveries
- design and coordinate office events including studio parties, retreats and workshops
- act as key point of contact for building management, custodial services, landlords, vendors and contractors
- manage and help prioritize use of shared studio spaces and resources
- organise and maintain the studio’s research library, physical model collection and displays
- conduct security and fire safety training including assignment of keys and fobs
- help maintain a clean and safe environment by encouraging studio-wide participation for end-of-week cleaning and shared maintenance responsibilities
- coordinate travel for all staff in our Paris Office
Team support:
- coordinate AV set up and troubleshooting with Studio Gang’s IT team
- support to the marketing and business development team with proposals and other tasks as needed. Provide additional support to our European director of business development as needed
- support HR with initiatives like onboarding, off-boarding, hiring, recruiting, benefits administration and payroll for all Paris-based employees
- support the studio’s legal team with contracts, insurance, leases and communication as needed
- support the studio’s finance team with reconciling credit cards, collecting invoices, organising reimbursement receipts for invoicing, and other financial tasks as identified
- assist with implementation of studio-wide programs such as mentorship, performance reviews, gifts and recognition
Requirements:
- de formation BAC+2
- three to five years’ of related experience
- detail-oriented with excellent time management skills
- ability to act on own initiative, work collaboratively, and ask questions
- ability to provide reliable and consistent support in a dynamic environment
- excellent organisational and multi-tasking skills
- an interest in hospitality and maintaining professional relationships
- ability to maintain the highest level of confidentiality, exceptional judgment, diplomacy, and professionalism
- proficiency in Microsoft Office Suite and Adobe Suite
- must be fluent in English and French
