There is an opportunity for a project administrator and document controller to join hcl architects in London. 

An award-winning architectural and design practice are seeking an exceptional project administrator and document controller to support their team. The practice operates across architecture, urban design and interiors and has earned a reputation for designing and delivering high-quality architecture across various sectors.

The role involves working closely with the team efficiently managing the control of all documentation and to research potential opportunities and produce submissions in response to pre-qualification questionnaires and Invitation to Tenders for architectural services. This is a great opportunity for a self-starter to grow their career within a creative and friendly environment. The ideal candidate will have experience in a similar role and an understanding of how architecture projects are run day-to-day.

Role and responsibilities:

  • assist project teams carrying out document control duties and bid writing while coordinating new business
  • document control using platforms such as Aconex, Viewpoint For Projects, BIW, Conject, Asite for projects
  • all document control systems, protocols and processes maintaining accurate records for all projects
  • use an internal document control management system to file all electronic documents, monitoring the team’s emails and making sure all relevant parties are kept informed with associated actions
  • attend design team meetings and minute -taking
  • preparing pre-qualification and competition submissions, ensuring responses are written to the highest standard
  • production of bid documents, design reports and presentations that have a high visual impact
  • maintain a library of written responses, case studies and graphics to support the production of bids
  • produce brochures, award submissions and project presentations
  • develop and maintain standard document templates and presentation formats
  • monitoring potential opportunities that come into the practice and distributing these opportunities to management. Evaluating and responding to opportunities ensuring that submissions are of a high and consistent standard
  • to assist the directors and associates in formulating their responses to architectural advertisements, turning their thoughts and core knowledge into compelling copy
  • to ensure that material is grammatically correct, well-researched, and without spelling mistakes

Key skills:

  • experience in a construction, architecture or design based studio is desirable
  • experience in a bid team with excellent and proven bid writing skills is desirable
  • proficient in Document Control platforms such as Aconex, Viewpoint For Projects, BIW, Conject, Asite etc.
  • proficient in MS Office and Adobe InDesign is integral, as you will be helping produce project reports and presentations
  • good graphical and presentation skills required
  • familiarity with the OJEU process and completing PQQs
  • ability to thrive in a busy environment and stay calm under pressure
  • be a proactive member of the team and always eager to help
  • excellent attention to detail whilst mastering multi-tasking
  • flexible approach to work and willingness to get stuck in across all tasks to ensure smooth running
  • the capacity to operate without guidance with a warm and approachable demeanor
  • fluent in spoken and written English

Starting salary £28,000 – £30,000. Negotiable depending on proven experience.
