General Projects is looking for an experienced office manager/PA to join its growing team in London.

Reporting to the CEO/COO, you will form an integral part of the team as office and administrative support undertaking a range of activities to ensure the day-to-day smooth running of this young, ever-evolving company.

The successful candidate must be able to coordinate a range of tasks efficiently with initiative and enthusiasm.

Key responsibilities will include:

  • creating and issuing invoices on Xero and being able to update/track/run financial reports and work alongside the company accountant and bookeeper
  • issuing payroll, managing HR matters and company schemes
  • managing the CEO’s busy and ever-changing dairy, scheduling meetings as necessary
  • arranging travel for CEO and team, booking hotels when needed
  • managing all incoming and outgoing post, deliveries and couriers
  • maintaining the overall tidiness and appearance of the office, ensuring the office environment is organised and rectifying any issues as necessary
  • assisting with general daily communications – answering/transferring calls, greeting clients, setting up meetings and serving refreshments as required
  • ordering FF&E and co-ordinating logistics/set ups onsite
  • assist the team with purchasing and ad hoc jobs
  • organising events and team trips.

Essential experience and skills:

  • two to three years’ experience working in a similar role
  • strong organisational and multi-tasking abilities
  • ability to handle confidential and sensitive information with discretion
  • polite telephone and client facing manner
  • confident, friendly and proactive
  • able to work independently without supervision
  • numerate and analytical with excellent written and verbal communication skills
  • proficiency in Microsoft Office essential. Adobe InDesign and Photoshop knowledge highly preferable
  • strong knowledge and experience in Xero
