Claridge Architects is seeking a part-time office assistant to join its team in London.

Part-time, three days per week in a creative studio environment.

Claridge Architects is seeking a proactive and organised office assistant to support the day-to-day running of our busy architectural studio in a dynamic, design-led environment. This varied role sits at the heart of the practice and would suit someone who thrives on structure, has a naturally positive and professional manner, and enjoys supporting a collaborative team.

Working closely with our directors and wider team, you will be responsible for a range of front-of-house and administrative tasks that help keep the studio running smoothly. From greeting guests to supporting internal events, this is a valued position offering involvement in many aspects of studio life.

Key responsibilities

Studio administration and front of house:

  • be the first point of contact – answering calls and managing general studio enquiries with warmth and efficiency
  • organise travel, couriers, taxis, deliveries, and meeting room bookings
  • coordinate incoming/outgoing post and studio deliveries
  • assist with diary management and day-to-day studio logistics
  • maintain office supplies – including stationery, model-making materials and kitchen stock
  • support directors with document printing, scanning and filing
  • help prepare for internal CPDs and design reviews
  • ensure printers are well-stocked and functioning
  • coordinate with IT support and suppliers for office maintenance or repairs
  • help organise studio events such as birthdays, socials, and seasonal gatherings

Finance support:

  • record and log credit card, petty cash and expense transactions
  • save and upload invoices and receipts to our Xero system
  • collate monthly statements for the accounts/directors
  • assist staff with expenses and reimbursements
  • issue client invoices and liaise with clients’ accounts departments to ensure all invoices are received, logged and processed within their systems

PR and publicity support:

  • assist in preparing and distributing our bimonthly newsletter
  • support our social media team with content coordination when needed
  • help research upcoming design awards and competition opportunities
  • support with internal event logistics and staff celebrations

HR and recruitment:

  • keep track of staff leave and sickness records
  • managing and tracking holiday requests
  • coordinate interview scheduling and recruitment logistics
  • help prepare onboarding materials and staff welcome packs
  • support with employment documentation and basic contract administration
