RSHP is hiring a PA/project coordinator to join its team in London.

RSHP is an international architectural practice who has designed some of world’s most iconic buildings. Our portfolio of projects ranges from the renowned Lloyd’s of London building, a new distillery and visitor centre for The Macallan in Speyside, to The Leadenhall Building, an office tower which is home to the practice’s studio. Currently, we are working on a range of high-profile projects, including 99 Bishopsgate, a new commercial tower in the City of London; the Four Seasons Hotel in Taipei; the British Library Extension in London; and Bayeux Tapestry Museum in Normandy.

The culture in the practice is one of sharing knowledge and coming together for discussion and teamwork. We have over 170 exceptional people working with us all over the world, working on high-profile projects in over 15 countries.

We are looking for a PA/Project coordinator to join our team in London. The suitable candidate will work closely with their director(s) and the architectural teams as an integral member of the project team/s and may also liaise directly with various external contacts connected with the projects. The PA will support their director to ensure his or her daily work runs smoothly.

Key responsibilities – to include, but not be restricted to, the following:

  • provide a highly efficient, reliable and fully proactive PA service to the director/s to support their business effectiveness, including effective diary and inbox management
  • be the point of contact for clients and project related calls
  • be aware of project programme, deadlines and stages of work
  • provide general administrative support i.e; responding to emails, event invitations, assisting in maintaining office manual/best practice guide
  • coordinate client meetings, design team meetings and other project related meetings on behalf of the project team
  • be proactive with project calendar(s); be aware of programmes, meeting schedules, room requirements, travel, and ensure all meetings are noted in the relevant job calendar
  • agree correspondence protocols with your support team
  • coordination of any reports (agenda items, minutes)
  • booking conference calls/meeting with clients/consultants
  • coordinate travel: trains, flights, taxis. Research travel options, distribute agenda itineraries. If necessary, co-ordinate travel logistics with the client
  • organise project team events/outings
  • buddy support system with other members of PA support team to ensure continuous cover
  • reception cover when required

Skills and qualities:

  • previous experience as a personal assistant or a similar administrative role
  • have good organisational skills and be able to efficiently multi-task
  • excellent attention to detail
  • have good communication skills both verbal and written
  • have a flexible and adaptable approach
  • ability to check own and other’s work
  • ability to manage conflicting priorities
  • positive approach with a “can do” attitude
  • have a confident, friendly, approachable and professional manner
  • discrete

Hours: 0930 to 1800, Monday to Friday – fully on site
