Cove Burgess Architects is hiring a studio manager to join its practice in London.
CoveBurgess are looking for a keen studio manager to join their growing team. As studio manager of this vibrant studio based in trendy Borough, you will oversee a broad range of administrative tasks. The ability to multitask and the willingness to muck-in is a must.
This is a varied and ever-changing role supporting our mid-size architecture studio. You will work closely with the managing director to maintain the smooth running of the practice. Duties include:
Finance – managing the end-to-end invoice process, chasing outstanding payments, day-to-day bookkeeping, bill payments. Produce cashflows and review with directors; produce and submit quarterly VAT returns. Liaise with accountants for monthly payroll and end of year accounts. Experience working with Xero would be beneficial.
Project management – managing and overseeing our project management software, CMAP. Monitor project progress and costs and reporting back to the directors.
Premises – liaising with landlord and sub-tenants.
HR – maintaining staff records, processing holiday requests and absences. Preparing employment contracts and scheduling regular staff reviews.
Reception – welcoming visitors to the studio space, answering and redirecting incoming calls and monitoring emails.
Studio coordination – keeping track and reordering office supplies/consumables, negotiating contracts with suppliers, ensuring a perfectly tidy studio space.
PA support – supporting two busy directors, organising meetings, setting up calls and making travel arrangements as necessary.
Marketing and new business – updating our website, creating new content for social media platforms (Instagram, twitter), assisting the directors with CRM system, assisting with the production of pitches and submissions.
Event coordination – overseeing all internal and external events including social events and celebrations, coordinate our in-house CPD programme.
The ideal candidate will have at minimum of three years’ experience working in a similar environment, confident with finances, highly self-motivated, a team player and quickly become the ‘go to’ person. This is pivotal role, with plenty of scope to grow in a supportive and nurturing award-winning studio.
