Mendick Waring Limited is hiring an office coordinator in London.
MWL is an established, client-focused multi-disciplinary practice of building services engineering consultants, based in north London who are looking to recruit an office coordinator. The practice has grown steadily since 1987 and now has over 60 staff.
The office coordinator will play a crucial role within the company ensuring the smooth running of front of house and requires a positive attitude and high level of service both internally and externally. The coordinator will be responsible for providing cover for the receptionist answering incoming calls and providing administration support to staff. Our receptionist works part-time, 10.30am-2.30pm (two days) and 10.30am-4.30pm (three days).
Reception cover:
- greet visitors including clients, consultants, suppliers and deliveries
- answer all incoming calls and take messages
- ensure all visitors to the office and all staff leaving/returning sign in and out of the office
- ensure reception is sufficiently manned, kept clean and tidy
- organise refreshments and lunch for internal and external meetings
Administration:
- administrative duties such as printing, copying, filing, organising files and folders
- support members of staff as required
- arrange couriers and taxis, travel arrangements and accommodation for staff
- manage practice accreditations, memberships and renewals
- manage office suppliers (cleaners and maintenance contractors) and liaise with landlord
- assist in gaining quality and environmental management certification (ISO9001 and ISO14001)
- assist with health and safety policy and procedures
- we are currently reviewing new project management software – take an active lead on system implementation
PR/new business:
- set up new projects on the system
- work with practice manager on new business bids
- assist directors with new enquiries and print out tender documentation
- work with practice manager on PR and marketing material (social media, website and brochures)
Abilities, skills and attributes:
- excellent telephone manner
- must be able to communicate effectively and collaboratively across the practice
- computer literate with experience of Office365 (word and excel)
- experience of adobe indesign and photoshop (preferable, but not essential)
- be organised and able to multi-task effectively
- must be able to work proactively and be willing to work under own initiative
- flexible and willing to provide support in whatever capacity required to all staff
- have a can-do attitude
- trustworthy and reliable
