Finkernagel Ross are seeking a practice manager to help with the running of the day-to-day business.
We are in need of someone who is a problem solver by nature, has a proactive mindset and will thrive in seeking out opportunities to improve the office efficiency and provide support to the remaining staff – a true custodian of the office.
Situated on Shoreditch High Street, and with over 15 years’ experience in architecture, we are an award-winning, driven and design-led architectural practice located in Shoreditch with high aspirations. This is an opportunity for candidates who feel they would be able to help shape the future and structure of this practice so will therefore need to demonstrate the following qualifications.
The role:
- providing administrative support to the architectural staff and directors on a daily basis
- administering aspects of office finances alongside our accountant and the directors to include bookkeeping and bank account reconciliation, invoicing and office/client expenses and preparation of cash flow forecasts and project profitability reports
- managing and organising our architectural samples library, internal office CPDs, staff training and RIBA documentation
- managing all daily aspects of the day to day running of the practice to include general receptionist duties, filing, maintaining kitchen tidiness, checking and maintaining office supplies, paying bills, organising post and couriers, ordering stationery, arranging meeting room and refreshments, correspondence, liaising with the letting’s agent and IT support, arranging insurance cover and H&S documentation, organising travel for the directors, assist in running and minuting weekly studio meetings, calendar management for the directors, possible website management (Squarespace experience an advantage), maintaining contact and marketing database, organising and set up of quarterly newsletters and online brochures and look books
- HR administration to include payroll, monitoring employee leave, issuing new starter information packs, health and safety coordination.
Skills and attributes:
- minimum five years’ experience in office administration preferably with a successful design orientated architecture studio
- fluent English, written and spoken, and excellent communication and interpersonal skills with a proven ability to prepare written correspondence faultless in appearance, tone and language
- excellent time management skills and the ability to prioritise tasks, multi-task, work under pressure and meet deadlines – the ability of foresight
- thorough and conscientious, with a sensitivity for detail and presentation
- confidence and self-assuredness to be client-facing
- financial literacy with experience in invoicing, PAYE payments, bookkeeping skills advantage
- proven literacy in MS Office Suite
- proficiency with the Adobe Creative Suite along with Photoshop, Illustrator and InDesign
- proficiency with Xero bookkeeping software
- proficiency with Squarespace
- eligibility to live and work in the UK
- passion and careful attention to detail
- positive and optimistic attitude, self-motivated, driven and proactive
- exceptional organisational and communication skills, strong record-keeping skills
- the mindset of someone who sees problems and seeks to resolve them
- work well in a team and confidently as an individual
- experience with HR, marketing and/or communications an advantage, although not a requirement
- fluency in German helpful, although not a requirement
