Administration assistant
at Ceraudo
Ceraudo is seeking an experienced part-time administration assistant to join its team in London.
Reporting to both founders, you will form an integral part of the team as administrative support undertaking a range of activities to ensure the day to day smooth running of this young, fast-paced startup.
The successful candidate must be able to coordinate a range of tasks efficiently with initiative and enthusiasm.
Sales and customer liaison:
- respond to all customer enquiries within two hours
- raise invoices for orders placed via email
- approve trade accounts & email welcome/confirmation
- track order through from our inventory system to shipping route (DHD/DPD)
- update customers on delivery timings, tracking info etc.
- process returns–arrange return delivery, put back into stock
- help brainstorm ways to drive more sales
- managing all incoming and outgoing post, deliveries and couriers
Stock processing:
- liaising with image re-toucher to ensure we have the right images for the right products & they have been retouched as per the brief
- uploading imagery and stock details to website and affiliate sites
Website admin:
- track all orders in our inventory system and process accordingly, including affiliate orders
- user experience testing using Hotjar to create actions for our web team and encourage higher conversions
- updating homepage imagery to keep things fresh/interesting
- disabling old stock
- ensure new arrivals always first on each category
Accounting:
- check order payments and confirm receipt to the customer
- reconcile the invoice with the bank transaction
- processing and reconciling expenses on a monthly basis
General:
- helping with various requests from the founders
- help packing small accessory orders
- assist photoshoots
- assist events
- assist with press requests
Essential experience and skills:
- one to two years’ experience working in a similar role, ideally within the design industries
- strong organisational and multi-tasking abilities
- ability to handle confidential and sensitive information with discretion
- very polite telephone and client-facing manner
- confident, friendly and proactive
- able to work independently without supervision
- numerate and analytical with excellent written and verbal communication skills
- proficiency in Microsoft Office essential. Some experience with Xero (or other accounting/expenses software)
- adobe InDesign and Photoshop knowledge highly preferable, but not essential.
Working hours
Possible options below, but we are flexible:
- three days per week (9am-6pm) – 24 hours
- four days per week (9am-3pm) – 24 hours
Some days may need to change depending on events/shoots.
Location
For now, it would be working from a hot desk location alongside the founders in Shepherds Bush or Chiswick and eventually moving to a dedicated studio in 2020.
