Operations project administrator    

Suna Interior Design are an award-winning boutique interior design consultancy who provide interior services for property developers and the hospitality industry. Helen Fewster and Rebecca Tucker head up the London-based studio ensuring that a high level of attention is dedicated to each client and project. We are currently recruiting for an operations project administrator to ensure the smooth running of the procurement and administrative side of the operations department. The successful candidate will have previous experience of ordering and working within tight budgets and time frames.

Operations project administrator position overview:

  • managing the full procurement of all projects, including furniture, fabrics, bespoke items and soft furnishings
  • working closely with the finance department to ensure the smooth running of the company’s cash flow
  • finalise purchase details of orders and deliveries
  • working closely with the warehouse department to ensure all goods are in within required time frames
  • responsibility of understanding and controlling project budgets
  • communicating, negotiating and forming strong positive relationships with all trade suppliers
  • liaising with all designers to understand their project procurement requirements
  • ensuring the smooth running of the administrative side of the operations department
  • internal overview of all upcoming and existing projects
  • answer all incoming calls
  • meet and greet all visitors and clients
  • provide regular updates to operations manager on any issues
  • communicating with staff, clients, suppliers and others in a timely, friendly and professional manner
  • to be proactive in offering any suggestions to improve the efficient running of the office
  • working effectively within a small but committed team but also working efficiently on their own as required.

The candidate will have:

  • the ability to build effective, professional relationships with the companies sub-contractors
  • skilled in organising and prioritising workload in order to meet deadlines in light of changing, heavy workload and competing requirements
  • experience within a similar operations/administration/logistics role, with previous planning experience
  • a high level of IT skills
  • a confident and professional telephone manner
  • excellent organisational skills
  • the ability to learn quickly and retain information
  • self-motivation
  • excellent communication and team working skills
  • ability to look after a wide spectrum of projects at a fast pace
