Interior design project manager

OKA is seeking an interior design project manager to join its team in London.
OKA is a successful multi-channel retailer of beautiful, unique and affordable furniture and accessories for the home. Today, we have 14 stores and an extensive mail order, online and trade business with many thousands of customers throughout the UK and the world beyond.
OKA is looking for a full-time junior/midweight project manager to support the interior designer team with daily running of the studio and project management. Reporting to the head interior designer, the successful candidate will work on residential, hospitality and commercial projects and:
- deliver the highest standards of service to clients as the first point of contact for new, current and after-sale enquiries
- use initiative, sales skills and commercial experience to grow revenue and the reputation of the OKA brand
- work in collaboration with colleagues in the design team and across the business to achieve the set objectives
Main duties and responsibilities:
Administrative duties:
- manage studio diary, client and supplier appointments
- first point of phone contact, pass on new business enquiries to team members
- track project timeline and manage project allocations with the head interior designer
- respond to client emails, manage trade email inbox
- prepare schedules of works, organise and manage installations
- raise orders on OKA’s stock management system
- create invoices, follow up on payments
- manage 3rd party supplier site visits and prepare quotations
- manage shared folders, keep supplier price lists up to date
- support designer presentations, prepare meeting rooms
- daily upkeep of design studio, supplies and samples
- manage freelance designers’ schedules and timesheets
Design:
- provide excellence in all aspects of product and interior design knowledge for the OKA range
- support the design team when necessary utilising Vectorworks and high-quality presentations
- share ideas for improvement and contribute to design process
- ensure OKA’s brand values and standards are upheld
Customer service:
- provide a friendly, courteous and professional service at all times
- deal positively with all customers in a timely manner
- manage all stock, availability and delivery procedures within the UK and overseas
- manage returned goods in accordance with OKA policies and understand consumer rights
- be an ambassador for excellent customer service
Skills and attributes:
- minimum two years’ professional project management experience in an interior/product design studio
- a background in delivering high end residential and/or commercial design projects
- proven experience in dealing with clients, contractors and other suppliers in a highly professional manner
- proven working knowledge of FF&E procurement
- a keen interest in furniture and home furnishings
- excellent team player – collaborative and people-driven
- highly organised with excellent time management and organisation skills
- positive attitude, adaptable, flexible approach to work
- proficient in MS Office with high competence in Vectorworks, space planning and Photoshop
- experience with Salesforce software and InDesign beneficial
- excellent verbal and written communication skills with a strong command of English
- flexible to work on weekends and public holidays as required to meet commercial and client needs
- able to drive (with current driving license), and willing to travel (site visits, meetings etc)
