Executive assistant

BDP is seeking an executive assistant to join its team in Bristol, UK.
BDP is looking for an executive assistant with strong organisation and communication skills in our Bristol office on a part-time (22.5 hours per week) basis.
The priority of this role is to provide directors and their teams with a smooth and efficient service in support of their business activities. It is an exciting opportunity for someone with an interest in marketing, bidding and business development, as you will work closely with studio directors, Bristol’s marketing coordinator and BDP’s wider marketing team to support in all stages of the bid and marketing process in the Bristol office.
About the role:
- arranging travel (domestic and international) and accommodation
- arranging couriers, distributing post and deliveries
- booking meeting rooms and catering
- greeting visitors, preparing meeting rooms and refreshments
- preparation and assembly of documents including printing, binding and scanning
- creating and formatting correspondence including letters, memos, minutes, reports and agendas
- scheduling meetings, preparing documents and taking minutes
- supporting the marketing coordinator with the bid process. This includes collating information, producing, formatting and uploading bid and submission documents
- supporting the marketing coordinator with award submissions
- engage with the wider BDP marketing team to assist other studios with bid and submission information
- maintaining marketing databases and contact lists
About you
- excellent organisational skills attention to detail with the ability to prioritise workload and deliver to tight deadlines
- excellent written and verbal communication skills
- proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint) and competent in Adobe Create Suite (InDesign)
- a flair for producing attractive documents and presentations
- adaptability and keenness to learn
- a good team player, capable of working in a fast-paced environment whilst maintaining accuracy and quality
- relevant experience in a similar role within construction or design sectors

This role is based on a part-time, permanent contract of 22.5 hours per week.
