Carmody Groarke is seeking a new business coordinator to join its team in London.

Carmody Groarke is looking for an experienced new business coordinator to join the team. As a newly created role, this presents an exciting opportunity to take ownership of the practice’s new business process and help to shape its external profile across both the UK and internationally.

Working closely with the senior team, the successful candidate will be responsible for researching relevant opportunities, leading on the production of bid and tender materials and managing all submissions. You will be a confident communicator, working independently to manage your time and with initiative, being adaptable to change and able to work flexibly in accordance with the requirements of the role.

Main responsibilities – including but not limited to:

  • ownership of the bid and tender process from start to finish, undertaking preparation of all PQQ, EOI and RFP documentation and working closely with the senior team to collate information and coordinate high quality bid and tender proposals
  • research new business opportunities, presenting key information and recommendations to the senior team for review
  • maintaining oversight of all new business enquiries, monitoring submission deadlines and following up where required
  • collating information in relation to new business leads, keeping an up to date centralised database of contacts and setting up meetings with key contacts as required
  • identification and attendance at networking opportunities and key industry events
  • creating efficiencies in the new business process through the development of a content library, ensuring up to date information is maintained that is consistent with practice graphic standards
  • obtain and analyse feedback and evaluate success rate of all submissions, identifying areas of improvement that can be made for future bids.
  • development of project-specific marketing material for publication and issue
  • working towards the development of an approved images and digital press archive in a centralised database.
  • leading on all awards submissions, collating project information and ensuring submission deadlines are met.
  • assisting in the creation of communication and press material where necessary

Skills and experience:

  • over two years’ experience in a similar role within a relevant industry
  • excellent written and verbal communication skills
  • excellent inter-personal skills, with the ability to develop positive relationships with both the internal team and external contacts
  • positive can-do attitude, with the ability to act independently and under own initiative
  • good eye for detail and understanding of graphic principles
  • ability to show thoroughness and maintain excellent attention to detail
  • ability to remain under pressure and meet multiple deadlines, impeccable time management is essential to the role
  • IT literate with working knowledge of Microsoft Office and Adobe Creative Suite. Proficiency in InDesign will be essential in the role, so a basic understanding of the principles of the software are required to design new business submission materials in line with practice graphical standards
  • experience in copy writing advantageous

Remuneration is dependent on experience and in line with the studio’s salary banding, set in accordance with industry standards. Whilst the role is intended to be full time we are open to discussing options for part time or flexible working as necessary.
