ACME is seeking a personal assistant to the founding director to join its team in London.
Personal assistant at ACME – maternity cover, 12-month FTC
ACME London is hiring a personal assistant for the founding director. This is a great opportunity for a career PA with a minimum of three years’ experience, who is looking for a role that is challenging as it is rewarding, in a vibrant and fast paced design-led office.
ACME is a leading international practice operating from London and Berlin in the fields of contemporary architecture, urban planning, interior and product design, working with private, corporate and public clients
Responsibilities include:
- acting as gatekeeper for the Director, taking full ownership of a complex diary
- liaising between the director and internal colleagues, wider project teams, clients and external contacts
- managing all correspondence, including emails, letters and phone, draft responses and reminders
- preparing, prioritising and managing tasks for the directors attention
- coordinating attendance of events, interviews, conferences and talks and work closely with the communications team on press related matters
- overseeing contact database system alongside comms department, ensuring all contact and key client information is kept up to date
- researching and compiling complex travel arrangements, both national and international; managing airline memberships, visas, foreign currencies, online check in
- assisting with personal administration and confidential matters as needed; responding to invites and other social engagements, ad-hoc errands etc
- managing all tech from laptops, cameras, and back ups
- organising social events on behalf of both the Director and office
- promoting the Acme office culture, acting in pivotal role as the link between the director and wider team.
The ideal candidate will be:
- IT savvy; from Google suite, MS Office, Zoom, webex to Adobe InDesign (advantageous, but not essential)
- professional, resilient and able to deal with sensitive and confidential information with absolute discretion
- proactive and inherently organised, able to think ahead and anticipate needs before they arise
- a confident people-person, who is responsive and has excellent communication skills, both written and oral
- hands on and action orientated, not afraid to get stuck in, no matter the task
- adaptable and calm under pressure, with a good sense of humour
- comfortable working independently with limited supervision
- have a natural interest in the creative arts and culture, from architecture to new exhibition and restaurant openings
- any additional languages would be an added bonus
A competitive salary will be offered depending on experience.
This is a full time position, on a 12 month fixed term contract basis, commencing circa July.
