New business coordinator

David Collins Studio is seeking a new business coordinator to join its team in London.

We are looking for a new business coordinator to support the business development manager across all aspects of new business and to support the wider marketing and communications team with marketing, PR and internal communications through a variety of studio based administrative duties.

Business development responsibilities:

  • new client enquiries – with a confident phone manner and professional email etiquette, respond to new client enquiries; including large-scale commercial developers, hotel operators, retail brands and private homeowners all around the world. This may include ascertaining a clear brief directly from the client, including understanding next steps and immediate deadlines
  • fee proposals/RFPs – using our existing templates, support the business development manager, CEO and COO with drafting bespoke fee proposals and responding to commercial RFPS. This will include reviewing all documentation received with a keen eye to understand what has been requested from the client
  • research – keep an active eye on industry news and research potential new clients for the studio
  • new business meetings – be aware of all new business meetings taking place internally and externally. Prepare for the meetings such as making appropriate meeting room bookings, getting the screen ready with studio presentations and ensuring our reception team are also made aware in advance
  • attending some client meetings with members of the management team and take formal minutes to be distributed after each meeting once attended
  • in advance of a client meeting or external event, research individuals, company information and any recent news which may be useful to those attending the meeting
  • client breakfasts/lunches/dinners/drinks – support our business development manager with the restaurant bookings and ad-hoc logistics. Be prepared to attend some events
  • client gifts – support our business development manager with sourcing and distributing occasional client gifts
  • DCS client events – support the wider marketing team with client events such as cocktail parties at Christmas. Tasks might include tracking the attendee list, logistics, invoicing and being present to welcome guests during the event
  • external industry events – attend events with our business development manager and senior team members to meet existing leads and generate new contacts. This could be a breakfast seminar through to larger award ceremonies or cocktail parties

General administrative duties: 

  • CRM/SalesForce – manage our online contact database with the inputting of business card information. Set up new project opportunities and create new campaigns
  • pipeline – responsibility for keeping our new business pipeline up to date with live opps. Ensure the executive team are aware of the inquiry (new enquiries and circulate relevant RFP documentation for review)
  • housekeeping – responsible for receiving and electronically filing all information received from new client inquiries and ensuring good housekeeping for the team
  • quarterly reports – support our COO with quarterly updates to track new business activity which our COO then updates to the wider studio

Marketing and PR responsibilities

Providing ad-hoc administrative support to the marketing and communications team. Tasks will likely include:

  • marketing deck – ensure our existing templates are kept up-to-date with new project imagery in InDesign
  • bespoke presentations – create bespoke presentations for new business meetings using the existing templates on the server
  • new project imagery – support the rollout of all new completed project imagery and video collateral across all channels including the marketing deck, digital channels, website, printed collateral and managing all uploads to our online image bank open asset
  • social media – support the PR executive with social media activities such as uploading images to Instagram, and posting on our company LinkedIn account
  • events – work with the MarCom team on any ad-hoc requests surrounding DCS events. This may include obtaining and researching the delegate list from the external organiser or supporting DCS with booking venues and issuing invitations
  • administrative support – monitoring the new business and studio email inboxes and flagging any inquiries. Collate and issue photography, project content and pre-written press releases to editors or journalists as advised by them
  • editorial coverage and digital press book – collate, manage and keep up-to-date the digital press book. Support the MarCom team with the generation of AVE figures as required by piece/month/project/quarter/etc.
  • assist with uploading content to the website

Internal communications responsibilities:

  • luxury safari – support the MarCom team in organising studio research trips where we will visit the latest restaurant, hotel, residential and retail openings in London

Experience, skills and qualifications required:

  • experience in a similar role within the creative sector
  • experience of working with Microsoft Word, Excel and Adobe Suite (InDesign in particular)
  • excellent literacy, spelling and grammar
  • excellent numeracy
  • strong verbal skills
  • interpersonal: building strong effective working relationships, both internal and external
  • an appreciation if not understanding of the luxury, interiors and built environment
