Adjaye Associates is seeking a project manager to join its team in London.
We are seeking an individual with an architectural background. They could be an architect with five or more years’ experience who is already doing project management functions within a design-led practice including: project programming and reporting, establishment of project plans and administering change management procedures. They will be looking to move these skills into a business wide role. Experience on different types of contracts would be useful, particularly middle eastern contracts, MOU’s, FIDIC contracts and bespoke agreements.
Their job is to get the project built on time and to budget whilst protecting the integrity of the design and ensuring full compliance with regulations. This role requires an individual who is self-motivated, to work unsupervised on programming, planning and resourcing.
Key responsibilities
Project programming
Establish overall project programme with the project leader/project architect, client and external partners. Oversee and ensure project programme deadlines are met; challenge time frames to safeguard the design periods. Prepare detailed design programmes appropriate to the work stage clearly outlining objectives, interim information exchanges and design team outputs to ensure the whole design team has a clear understanding of how and what they need to contribute to meet contractual milestones. During construction, ensure the project team reviews submittals and shop drawings, coordinates the response to RFIs; coordinating with the owner’s representatives, contractors and executive architects.
Establish and prepare the change management plan, design issues tracker and client RFI list.
Monitoring and progress reporting
Establish a progress reporting procedure for each project on a monthly basis or in line with client requirements. Prepare the reports for submission to the client including compiling reports from all consultants. Support and monitor the delivery of the project in line with the project brief, contractual framework and resource plan. Collaborate closely with the project leaders/project architects and monitor their workload and progress to ensure the timely submission of deliverables. Identify areas of risk/concern and their potential impact and propose mitigation. Actively monitor the internal teams’ adherence to defined scope and ensure the project teams stays on track staying within what is required and not taking on tasks outside of their scope. Chase outstanding information from consultants and monitor information received via an RFI Tracker.
Other aspects include:
- review the client’s brief for content and define the process for sign-off
- monitor and chase deliverables issued by sub-consultants to ensure timely submissions as well as determining whether submittals are per agreed scopes
- monitor and collate comments from the client on design submissions and track responses from the design team
- prepare fortnightly progress dashboards and monthly project reports
- prepare design programmes and routemaps for the overall project duration as well as individual project phases
Project organisation
Prepare the project quality plan which describes the procedures, framework and strategies for the execution and implementation of the project. The PQP is generally updated at the beginning of each stage and will include project/client specific procedures. This document also can be used as a briefing document for new team members.
The project quality plan will outline the project objectives based on the strategic brief, responsibilities, procedures and control processes. The document will also include the project organogram and project directory.
Administration
Contribute to ISO process, the establishment of templates for the project quality plan, project directory, change management tracker and other documents mentioned above.
Qualities and skills required:
- a background in and understanding of the building and construction industry
- relevant, professional degree, such as the bachelor of architecture (B.Arch.)
- knowledge of professional services contract, such as Nec3
- impeccable time-management, prioritisation and organisational skills
- able to work to tight deadlines
- excellent communication (written and verbal) skills
- a proactive approach to daily tasks
- able to work independently as well as part of a team
- methodical, accurate and consistent attention to detail
- able to manage sensitive and often confidential information
- appreciation of, and commitment to the business and growth of the practice
- IT literate with ability to quickly format and update Gantt charts
- fluent in the English language
