Part-time studio manager
at Goldstein Heather Architecture
Goldstein Heather Architecture is seeking a part-time studio manager to join its growing studio in London.
The practice was setup in January 2019 by Simon Goldstein and Giles Heather and is now a team of eight talented individuals and designers working on some exciting and rewarding projects of different scales and complexities. As the practice continues to grow the staff require support to assist in the smooth running of the studio, project support and promoting and raising the profile of the studio.
Job details
Studio management:
- answering the phone
- managing the info@ and recruitment@ email accounts responding where necessary
- organising travel for all staff for site visits etc.
- PA to the directors
- managing the office diary
- run non-architectural inductions to new staff
- liaise with landlord regarding facilities management as required
- manage incoming and outgoing post
- maintain overall tidiness and appearance of the studio
- organising staff events (external CPDs, summer day out and Christmas party) including future office trips
- assist design team with preparation of documents, including printing
- ensuring magazines/periodicals are kept up to date
- managing office equipment and stationary supplies
- managing the samples library
- assist with management of QA system when implemented
- project administration (maintaining client database, up-dating project actions meeting minutes)
- be very involved with the future office move, including the search for a new space and being involved with the fit-out
- ensure the smooth running of the studio
Marketing and communications:
- oversee the studio social media accounts
- work alongside external PR consultant
- preparing marketing brochures
- keeping previous experience pages updated
- arranging completed project photography
- monitor architectural events and looking at ways to market the company/get involved in events
- establish relationship with relevant journalists and editors
- be proactive in raising our company profile
- develop and implement PR/marketing strategy plans
Human resources:
- liaising directly with our external HR consultant
- coordinate and administer staff appraisals
- monitor staff holiday and absence
- being available for our staff to speak to with any issues
- being involved in the introduction of the new studio project management intranet
- assisting with the recruitment process; arranging interviews, organising incoming CVs
Finances:
- setting up the bookkeeping on Xero or Quickbooks
- preparing invoices and managing invoices schedule
- chasing invoices
- monitor project fee trackers
Software requirements:
- Microsoft Office 365 – Word, Excel, Teams, Outlook
- Adobe InDesign, Acrobat
Skills:
- previous experience as an architecture studio manager is essential
- ability to work intuitively
- excellent organisational skills and attention to detail
- great communication skills
