Studio Pottery London is hiring a studio manager to join its team in London.
Studio Pottery London: a ceramics studio that is utterly unique. Opened on the 11 September 2019 it is the first such space for pottery enthusiasts and beginners alike in central London. The studio offers open access teaching as well as a workshop area for its 100 members.
As the studio manager it is your responsibility to be the direct interface with the clients. Thorough experience is essential of working in a busy studio administrative management role with scheduling, daily operations, invoicing, email account management and technical competence of the relationship management, project/event delivery. You are supported by a financial account manager and you directly work for studio director Lucy Attwood, liaison with artistic director Gregory Tingay and studio technicians.
Key skills for daily operations:
- at least five years’ of experience in a similar role within a large studio, start-up and/or membership-focused environment
- strong project management skills, including an ability to prioritise and manage multiple projects.
- diary management and execution.
- technical experience handling management of software and systems.
- Mindbody system and app demonstrated knowledge. This is similar to a CRM program
- previous experience of working in a busy administrative support role
- good business sense and a proven track record
- highly motivated and work on own initiative
- good communication skills
- knowledge of XERO invoicing. Adobe Photoshop, Mailchimp and WordPress
- exceptional IT skills, Apple efficient
Diary management:
- diary coordination. Manage the diary of busy studio, directors, clients, teachers and technicians
- technical studio diary management in technical capacity, handling management of the studio’s booking system and calendar programme Mindbody
- serve as the key point of contact for membership and classes inquires
- provide excellent customer service for inquiries and class bookings, members and corporate via email, phone and in person
- liaise with high-net-worth individuals and prospective clients when they come into the studio
- handle management and planning of bespoke group and corporate classes; from receipt of enquiry, to scheduling class, price with teacher, invoicing, and coordination of technician’s diaries
- handle coordination of studio hires and private client events from inquiry to onsite delivery and post-event invoicing
Membership management:
- manage studio membership, coordinating new member inductions, overseeing member accounts online, handling members queries and renewals
- handle management of members database
- increase member offer awareness and support the uptake of benefits and services, handling monthly programme of member events and workshops
- assist in new member recruitment, conducting show rounds and Studio introductions.
- process and record subscriptions and payments paid via direct debit, card payments, cash etc.
Team management:
- manage the existing class programme and forward plan future programmes, coordinating team of tutors and technicians
- work closely with other team members to ensure accurate information flow and maximisation of staffing resource.
- carry out overall employment experience of staff, managing tutors and technicians, staff hours, logging holiday requests, drafting employment contracts, monitoring tutor rates and training of new starters
Finance and reporting:
- draft and process invoices on behalf of studio; liaising with the finance consultant to ensure accurate record-keeping of income and expenditure.
- handle communication received to the studio’s finance email address, liaising with the finance consultant when necessary
- coordinate quarterly board meeting, involving diary scheduling, compilation of meeting documents and drafting of quarterly reports working with the finance consultant to deliver timely to the advisory board
- collate and deliver monthly reporting to the board
Studio administration:
- manage the studio director’s and artist director’s to-do list, providing daily PA support for Lucy the director
- maintain data integrity between the website, membership, and classes. Making simple changes to the website – with the help of the website studio team
- maintain the website to accurately represent the studio’s offer and schedule
- install, operate, maintain and/or troubleshoot technical equipment in studio (Apple MacBook, Lightwave, Paysafe, Spotify, etc.)
- maintain upkeep of studio materials, equipment and supplies
- maintain and source external contacts/suppliers to ensure that the studio services are maintained
- managing orders and the cleaners
The post will comprise five days of work per week, with the odd evening and weekend cover (time offered in lieu).
